Executive Administrative Assistant, People Services (Hybrid - Lancaster, CA)

Executive Administrative Assistant supporting the Chief Human Resources Officer and People Services leadership team at a Lancaster-based educational organization. Oversees confidential executive operations, communications, projects, records, reporting, and department coordination.

Description

  • Provide confidential operational support to the Chief Human Resources Officer and People Services leadership team
  • Manage the CHRO’s calendar, including meetings, travel, leadership events, and strategic planning sessions
  • Coordinate meetings by preparing agendas, compiling materials, documenting action items, and tracking follow-up
  • Screen, prioritize, and manage communications for the CHRO
  • Organize and maintain confidential files, correspondence, personnel information, and executive records
  • Draft, review, edit, and format executive communications, presentations, reports, and correspondence
  • Support People Services projects through activity coordination, deadline tracking, information maintenance, and deliverable monitoring
  • Facilitate communication among People Services leaders, cross-functional partners, and external stakeholders
  • Prepare reports, dashboards, presentations, and meeting materials using HR and business system data
  • Coordinate department meetings, leadership retreats, employee events, and organizational activities
  • Assist with budget tracking, purchase requests, expense reports, and invoice processing
  • Protect sensitive employee, organizational, compensation, and workforce information through strict confidentiality
  • Maintain leadership meeting records, distribute materials, and monitor follow-up actions
  • Support compliance with policies, procedures, and records management requirements
  • Maintain accurate People Services documentation and retention of executive files
  • Act as a primary contact for internal and external stakeholders engaging with the CHRO’s office
  • Provide administrative support to other People Services leaders as assigned
  • Complete additional duties and special projects as assigned

Requirements

  • Bachelor’s degree in a related field, or two years of equivalent experience demonstrating applicable skills in a relevant industry or discipline
  • Five years of progressively responsible administrative support experience, including support for senior leaders or executives
  • Experience managing calendars, travel arrangements, meetings, and confidential information
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook, as well as other technology applications
  • Experience working in a highly confidential environment with demonstrated discretion
  • Administrative support experience in an executive-level setting
  • Strong organizational, planning, and prioritization skills
  • Strong verbal, written, and interpersonal communication abilities
  • Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams
  • Ability to create professional presentations, reports, and executive communications
  • Strong problem-solving and analytical abilities
  • Knowledge of human resources functions, practices, and terminology preferred
  • Bachelor’s degree in Business Administration, Human Resources, or a related field preferred
  • Experience in a Human Resources or People Services environment highly preferred
  • Experience supporting a Chief Human Resources Officer, executive, or senior HR leadership team
  • Experience with Canva, PowerPoint, AI tools, HRIS, reporting tools, document management systems, virtual collaboration tools, and related applications preferred but not required
  • Ability to work independently and collaboratively in a fast-paced environment
  • Ability to exercise sound judgment and protect sensitive information
  • Ability to manage multiple priorities and competing deadlines
  • Ability to travel as required for job duties
  • Ability to lift, carry, push, and pull objects weighing up to 10 pounds
