Remote Clinical Practice Manager – Tennessee

Manage patient support and clinical operations for Vori Health’s virtual musculoskeletal practice. Oversee scheduling, care coordination, compliance, and a remote support team.

Description

  • Lead and develop the Patient Support team.
  • Set team workflows, service standards, goals, policies, procedures, training materials, and standard operating procedures.
  • Track team workload, productivity, service levels, quality, and patient experience.
  • Resolve or escalate complex patient concerns across phone, email, chat, and other channels.
  • Improve the patient experience from scheduling and registration through care, billing, and follow-up.
  • Create clinician schedules and publish appointment availability in the electronic health record.
  • Track clinician capacity, blocked time, leave requests, appointment availability, and scheduling conflicts.
  • Analyze and report clinician utilization, capacity, access, and operational performance.
  • Coordinate availability, scheduling, updates, and billing information with external clinical service partners.
  • Help patients schedule or reschedule appointments when they need additional support.
  • Coordinate new clinician onboarding, including schedules, plans, meetings, system access, scheduling setup, and biographies.
  • Provide administrative support to physicians, advanced practice providers, physical therapists, health coaches, registered dietitians, and other clinical staff.
  • Work with healthcare partners inside and outside the organization to support continuity of care and patient flow.
  • Assist with patient video visits as directed by clinical leadership.
  • Request outside medical records and upload records and supporting documents to patient charts.
  • Alert clinicians when requested records or results arrive.
  • Send visit notes and other documentation securely to patients, providers, and external organizations.
  • Check daily that clinical documents reach their intended recipients.
  • Coordinate referrals, outside appointments, and other patient care needs.
  • Communicate with external providers, facilities, insurers, and partners.
  • Review patient intake details and patient-clinician communications, routing messages to the appropriate teams.
  • Keep electronic health records and other operational systems accurate.
  • Follow HIPAA, confidentiality rules, healthcare regulations, and company policies.
  • Contribute to quality assurance meetings, audits, improvement initiatives, clinical research, and publication support.
  • Develop clinical and Patient Support policies and procedures, implement them, and train teams on their use.
  • Maintain standard operating procedure libraries for Clinical Operations and Patient Support.
  • Find ways to simplify workflows and improve service quality with technology and automation.
  • Recruit, onboard, train, manage, evaluate, coach, and give feedback to Patient Support staff.
  • Plan staffing and coverage, and work with People Operations on employee relations and performance matters.
  • Join team huddles, meetings, and rounds with the camera on when appropriate.
  • Handle other assigned projects and duties.

Requirements

  • High school diploma or equivalent.
  • Experience in telehealth.
  • At least two years as a medical practice manager or operator, or in an administrative support role for a clinical practice.
  • Knowledge of medical terminology, office procedures, and patient care practices.
  • Proficiency with Microsoft applications such as Outlook, Word, Excel, and OneDrive.
  • Strong attention to detail and commitment to high-quality care.
  • Ability to work independently, manage time, and prioritize tasks in a remote setting.
  • Experience using video chat.
  • Experience with Google Workspace, Slack, and electronic health records, or willingness to learn new technology.
  • Bilingual proficiency in spoken and written Spanish.
  • Authorization to work in the United States or ability to provide the required work documents.
  • A bachelor's degree in a related field is preferred.
