Executive Assistant to VP of AI Engineering at Cisco

Support Cisco’s VP of AI Engineering by coordinating calendars, travel, events, communications, and special projects for the AI platform organization.

Description

  • Manage the VP’s calendar, schedule, and meetings, setting priorities as needed.
  • Coordinate speaking engagements with the communications team.
  • Organize meetings, including agendas, venues, technology, logistics, briefing materials, notes, and follow-up actions.
  • Prepare travel packs for international trips and major domestic events.
  • Serve as an authorized proxy for communications and approvals.
  • Respond to questions, refer routine matters, track follow-through, and resolve issues within established policies.
  • Mentor administrative colleagues in problem-solving.
  • Recognize when executive involvement is needed and recommend appropriate action.
  • Coordinate global travel and itineraries, manage Cisco expenses, and arrange airline benefits.
  • Support special projects with research, problem analysis, data compilation, and report preparation.
  • Prepare and brief itineraries, and accompany the VP at major corporate events.
  • Handle sensitive and confidential matters with discretion.

Requirements

  • At least 4 years of experience in an administrative role.
  • At least 2 years of experience supporting a director-level or more senior principal.
  • Expertise with Windows desktop applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience managing calendars, planning meetings, and coordinating travel.
  • Excellent spoken and written communication skills.
  • Ability to build rapport with executives, senior staff, and clients.
  • Experience supporting a vice president.
  • Strong interpersonal skills, sound independent judgment, integrity, and the ability to balance strategic and tactical work.
  • Exceptional attention to detail.
  • Ability to handle confidential information.
  • Preferred: Previous experience in the high-tech industry.
  • Preferred: Previous experience at Cisco.
