Customer Service Representative, Flavor Industry — On-Site

Manage customer orders, logistics, complaints, invoicing, and fulfillment for Robertet’s flavor business. Coordinate with sales, logistics, manufacturing, and customers to support accurate, timely delivery.

Description

  • Own and communicate key customer orders throughout the fulfillment process
  • Manage orders from booking or modification through escalation and completed delivery
  • Ensure shipments meet agreed deadlines
  • Partner with Logistics to support customer satisfaction
  • Keep complete records of internal and external interactions in the database
  • Request freight-rate quotes and obtain shipment-tracking details
  • Use multiple computer systems to enter and retrieve order-processing data
  • Review daily reports and resolve order-related issues
  • Support customer-portal order retrieval and invoicing
  • Process co-shipment and pre-shipment samples
  • Maintain customer forecasts and floor-stock agreements
  • Book orders within 24 hours of receipt and send confirmations within 48 hours of booking
  • Answer questions about pricing, inventory availability, and shipment tracking
  • Investigate and resolve pricing discrepancies, complaints, returns, credits, and freight claims
  • Record customer complaints in the complaint-management database
  • Troubleshoot and resolve issues for complex and key accounts
  • Proactively share supply-chain updates on raw materials, quantities, production and shipping dates, special instructions, and obstacles
  • Coordinate with account managers, customers, and internal teams on ship dates, quantities, credit requests, returns, invoice issues, and adjustments
  • Attend and prepare for daily production meetings
  • Assist with year-end file maintenance
  • Provide backup support to the team
  • Prepare account-activity reports for management using Oracle and/or BI
  • Help train new employees
  • Support Robertet and SQF Quality Standards and ongoing quality-management improvement

Requirements

  • Five years of customer service and training experience in the flavor or pharmaceutical industry
  • An associate degree is required
  • Advanced proficiency with Microsoft Word and Excel
  • Experience using an ERP system; Oracle experience is preferred
  • Technical aptitude and the ability to learn new systems
  • English-Spanish bilingual ability is highly desirable
  • Strong interpersonal, relationship-management, and communication skills
  • Knowledge of relevant computer applications, including Oracle

  • Excellent telephone manner, communication, interpersonal, and organizational abilities

  • Ability to reach above shoulder height, below the waist, and lift as needed
