Executive Assistant – EUR-IO/EX Front Office, Washington, DC

Executive Assistant supporting Cayuse Holdings’ federal foreign-affairs front office in Washington, DC. Responsibilities include executive scheduling, travel coordination, classified information handling, SharePoint administration, reporting, and office operations.

Description

  • Support the EUR-IO/EX Front Office, including the Executive Director, two Deputy Executive Directors, and Supervisory Post Management Officer
  • Schedule meetings, conferences, and teleconferences, including room reservations and logistics
  • Research, route, draft, and summarize correspondence and documents
  • Manage cables, correspondence, briefing papers, and memoranda
  • Prepare and deliver briefing books for Front Office executives
  • Complete special assignments and provide substantive support to the EX team
  • Maintain and update the SharePoint library for EX SOPs and Management Notices
  • Provide backup coverage for other Executive Assistants
  • Create, edit, proofread, print, clear, and maintain organizational charts, memos, SOPs, reports, and office documents
  • Coordinate conferences and meetings
  • Oversee executive travel, transportation, government travel orders, vouchers, taxi vouchers, and reimbursable expenses
  • Track and submit time and attendance through State Department systems
  • Support annual performance evaluations and HR database submissions
  • Track Chief of Mission absences and prepare official responses
  • Lead coordination of EUR/IO-EX annual Congressional reporting
  • Serve as the SharePoint site expert and improve accessibility, archives, and functionality
  • Train staff in SharePoint use
  • Manage Outlook email groups and distribution lists
  • Update organizational charts, emergency contact details, and phone charts
  • Welcome guests, direct inquiries, and cover the EX visitor entrance
  • Maintain executive calendars, office supplies, inventory, filing systems, and databases
  • Monitor internal tasks, deadlines, and deliverables
  • Troubleshoot office equipment and follow up on resolutions
  • Handle classified, sensitive, and personally identifiable information according to established procedures
  • Apply clerical procedures, regulations, guidelines, and independent professional judgment
  • Perform other assigned duties

Requirements

  • High school diploma and at least five years of office experience supporting senior officials, or a two-year degree in Office Management, Business Administration, or a related field and four years of office management experience
  • Active Secret clearance is required
  • Must pass a background check
  • Additional background checks may be required by projects or clients
  • Ability to manage multiple tasks in a fast-paced work environment
  • Thorough knowledge of Microsoft Word, PowerPoint, and Excel
  • Excellent verbal and written communication skills for working with personnel and government agencies at all levels
  • Strong organization and attention to detail
  • Knowledge of office policies, practices, and procedures
  • Ability to handle highly confidential information discreetly
  • Ability to work independently and exercise sound judgment
  • Strong independent judgment when researching regulations and evaluating their relationship to organizational efficiency
  • Basic accounting knowledge is helpful
  • Physical and mental ability to perform the duties for extended periods
  • Ability to use computers and office productivity tools at the speed required by the position
  • Ability to establish a productive and professional workspace
  • Ability to sit for extended periods while viewing a computer screen
  • May be required to work a flexible schedule, including holidays
  • May be required to work outside normal business hours
