Remote Call Center Administrative Assistant – North Carolina

Provide remote administrative support for calls, referrals, scheduling, and client intake. Connect clients with Coastal Horizons behavioral health and substance use services.

Description

  • Manage incoming calls, return messages, confirm approved client identifiers and safe contact preferences, and direct callers to the right staff.
  • Explain next steps using authorized scripts and established procedures.
  • Recognize reported immediate danger or urgent needs and promptly transfer clinical or safety matters to qualified staff.
  • Review shared referral queues, inboxes, voicemail, and calendars for duplicate referrals, missing details, deadlines, and unassigned tasks.
  • Schedule and change secure-video and in-person appointments.
  • Protect rapid-access availability and place clients in suitable local handoff appointments.
  • Help clients access the HIPAA-configured intake packet by providing approved links and instructions.
  • Offer nonclinical assistance with intake materials without making electronic access a condition of receiving services.
  • Send appointment confirmations and reminders, and record contact attempts in electronic medical record systems.
  • Monitor unreachable clients and canceled, missed, or incomplete appointments for follow-up.
  • Operate electronic health records, scheduling and document-management tools, communication and phone systems, and related technology.
  • Resolve routine system problems and escalate technical or workflow issues that remain unresolved.
  • Confirm acceptance by the receiving Care Manager before transferring clients to their home county and local Care Manager.
  • Keep scripts, contact directories, provider details, downtime resources, reports, meeting materials, and onboarding resources current.
  • Deliver prompt, respectful, trauma-informed service while handling high call volume, interruptions, confidential information, and competing priorities.
  • Assist Call Center and local TASC teams with administrative coordination and workflow support.
  • Complete other assigned responsibilities.

Requirements

  • High school diploma or equivalent.
  • An associate degree in business administration, office administration, healthcare administration, human services, or a related discipline is preferred.
  • At least two years of relevant experience in administration, call centers, customer service, healthcare, or human services.
  • Experience with electronic health records, multi-calendar scheduling, high-volume phone systems, data entry, and Microsoft 365.
  • Ability to serve people calmly, respectfully, patiently, and in a trauma-informed manner across varied communication, technology, language, and accessibility needs.
  • Strong customer service and interpersonal communication abilities.
  • Capacity to handle frequent calls, interruptions, confidential information, and competing deadlines.
  • Ability to follow scripts and protocols precisely while identifying matters that require immediate clinical or supervisory escalation.
  • Careful attention to detail and a track record of accurate records and documentation.
  • Ability to learn multiple electronic platforms and investigate routine workflow problems.
  • Professional communication skills for working with clients, colleagues, probation staff, treatment providers, and community partners.
  • Ability to organize competing demands, meet deadlines, and adjust to changing service needs.
  • Commitment to confidentiality, professional boundaries, and privacy and security standards.
  • Proficiency with Microsoft 365 and willingness to learn electronic documentation, scheduling, virtual meeting, secure-video, and related platforms.
  • Ability to provide compassionate, trauma-informed support to people seeking behavioral health and substance use services.
  • Ability to perform essential duties involving stooping, standing, walking, fingering, grasping, speaking, hearing, and repetitive motion.
  • Ability to perform sedentary work with occasional lifting, carrying, pushing, pulling, or moving objects weighing up to 10 pounds.
