Payroll Specialist (Onsite) – Santa Cruz, CA

Manage payroll processing, audits, grant tracking, and financial reporting for a nonprofit federally qualified health center serving Santa Cruz County.

Description

  • Process employee payroll accurately and according to schedule.
  • Review timecards for completeness and accuracy.
  • Confirm hours worked, pay rates, deductions, and benefits.
  • Partner with HR to resolve timekeeping and payroll discrepancies.
  • Maintain and review employee payroll data in the payroll system.
  • Prepare correction reports for missed hours, overpayments, underpayments, and other payroll adjustments.
  • Ensure payroll practices comply with federal, state, and local requirements.
  • Process final paychecks, including vacation, sick leave, accrued balances, and PTO cash-outs.
  • Monitor and reconcile employee benefit accounts, including CME, FSA, and HRA plans.
  • Issue billing statements to employees on PTO for their share of benefit costs.
  • Answer employee questions about pay, deductions, leave balances, and direct deposit.
  • Maintain complete payroll records and supporting documentation.
  • Reconcile payroll reports and support audits and financial reporting.
  • Prepare payroll reports, summaries, and management documentation.
  • Support tax reporting, wage records, and payroll filings.
  • Assist with year-end payroll tasks, including W-2 preparation.
  • Track grant spending, budget balances, reimbursement requests, and financial documentation with Grants and Accounts Payable.
  • Support grant closeout by preparing expenditure backup documentation.
  • Organize grant files, award records, correspondence, reports, and audit-ready materials.
  • Prepare the annual financial audit schedule.
  • Support the agency’s annual fiscal-year budget using FTE and salary information.
  • Verify that salary codes and allocations match the budget and Personnel Action Forms.
  • Assist with grant budget development and other financial analyses.
  • Attend Finance Team meetings and contribute to continuous improvement initiatives.
  • Handle additional payroll, administrative, and assigned responsibilities.

Requirements

  • At least two years of payroll processing experience, or four years in an accounting department with relevant coordination duties.
  • Experience using MIP Abila and ADP Workforce Now.
  • Demonstrated ability to complete precise, detail-oriented work.
  • Customer service experience and effective service skills.
  • Understanding of audit procedures.
  • Strong attention to detail and accuracy.
  • Associate degree in accounting preferred.
  • Experience working in a federally qualified health center preferred.
  • Experience with payroll processes and month-end close preferred.
  • Experience supporting financial audits preferred.
  • Experience with ADP Workforce Now, Microsoft Office, MIP Abila, and other financial systems and processes preferred.
  • Bilingual English/Spanish skills preferred.
  • Availability for full-time, hourly, non-exempt employment.
  • Ability to work 8:30 a.m. to 5:00 p.m., 40 hours per week.
