Part-Time Virtual Assistant – Operations & Admin Support | Australia Remote

Description

  • Manage the CEO’s ClickUp task pipeline and keep work progressing
  • Monitor deadlines, update task statuses, follow up on open items, and escalate risks
  • Coordinate daily administration, including scheduling, reminders, follow-ups, and general support
  • Keep records, documents, and spreadsheets organised across Google Workspace and other business systems
  • Complete accurate data entry and validation in Xero
  • Spot missing or incorrect information and raise issues promptly
  • Support communication and workflows involving the business’s AI agents
  • Assist with client administration by collecting information, preparing documents, and coordinating follow-ups
  • Learn and apply the company’s established processes

Requirements

  • At least four years of professional experience
  • Background in virtual assistance, executive assistance, administration, or operations support
  • Daily hands-on experience using ClickUp to manage tasks, deadlines, and follow-ups
  • Strong data-entry and data-validation skills with a high level of accuracy
  • Xero experience is helpful but not required, provided you are willing to learn
  • Confidence working with AI agents and AI-driven business workflows
  • Strong organisation skills with the ability to manage competing priorities
  • Excellent written and spoken English communication
  • Self-motivated and dependable, with sound judgement, independent working ability, and a willingness to ask appropriate questions
  • Adaptable and comfortable learning the CEO’s systems and processes
  • General bookkeeping or accounting administration experience is useful but not required

Benefits

  • Part-time engagement of approximately 20 hours per week, with potential to increase
  • Fully remote working arrangement
  • Working hours from 10:00 AM to 2:00 PM New South Wales time
