Operational Specialist, Commercial Property Operations – London On-site

On-site operational support role for JLL’s commercial property portfolio in London. Coordinates health and safety, compliance, suppliers, maintenance, ESG activities, and reporting across UK assets.

Description

  • Deliver health and safety and operational support to Asset Experience Managers across Royal London-managed properties
  • Help Asset Experience Managers interpret health and safety legislation and apply required compliance controls
  • Track risk actions and keep risk registers current
  • Coordinate statutory compliance work, inspections, risk assessments, audits, and incident reporting
  • Administer the E-Permits system
  • Assist with expenditure control, invoice approvals, debt management, and cash-flow monitoring
  • Oversee helpdesk activity and response-time performance
  • Coordinate meter readings, quotations, work orders, and contract changes
  • Support work orders and contracts while coordinating site access and contractor relationships
  • Coordinate planned preventative maintenance and monitor remedial work through completion
  • Assist with EPC oversight, utilities, energy matters, sustainability reporting, and data gathering
  • Maintain property records, compliance registers, documentation, correspondence, and filing systems
  • Coordinate Microsoft Teams administration and document sharing
  • Support operational reports, property transitions, handovers, audits, and inspections
  • Provide updates to Asset Experience Services leadership while working in a matrix structure with Asset Experience Managers

Requirements

  • Knowledge of health and safety legislation relevant to property management
  • Understanding of statutory compliance obligations for commercial properties
  • Familiarity with permit-to-work processes and risk assessment methods
  • Experience using property management software
  • Proficiency with Microsoft Office, especially Excel, Word, and Outlook
  • Understanding of building services and maintenance activities
  • Knowledge of ISO 14001 and quality management systems
  • Awareness of ESG and sustainability requirements in property management
  • Ability to balance competing priorities and meet deadlines
  • Strong written and verbal communication skills
  • Capability in data analysis and operational reporting
  • Proactive approach to anticipating team requirements and resolving issues
  • High attention to detail, particularly in safety and compliance work
  • Flexibility when priorities and workloads change
