Customer Experience Representative (Hybrid, Grand Rapids or Vacaville)
Support residential HVAC customers for Duravent Group by handling calls, quotes, orders, complaints, shipments, returns, and product replacements.
Description
- Manage a high volume of customer calls
- Resolve customer inquiries and service requests
- Prepare customer quotes
- Oversee orders by checking status, expediting requests, and tracking shipments
- Coordinate with internal departments responsible for order processing
- Address customer questions, concerns, and complaints
- Refer complaints to a supervisor when escalation is necessary
- Contribute to a collaborative and positive team environment
- Keep current on promotions, pricing updates, product launches, and delivery options
- Supply customers with quotes, samples, and sales materials when requested
- Complete documentation for returns and replacement orders
Requirements
- High school diploma or GED is required
- At least five years of customer service experience
- Proficiency with Microsoft Office, including Word, Excel, and Outlook
- Pivot table and VLOOKUP experience is preferred
- Experience using ERP systems, particularly Oracle or SAP
- Current U.S. work authorization with no future visa sponsorship requirement
- Residence within commuting distance of the Grand Rapids, Michigan, or Vacaville, California, office
