Audio Localization Planning Coordinator - Mexico Remote

Coordinate talent, studio, and recording-resource schedules for Keywords Studios’ audio localization operations in Mexico. Support video game localization projects through organized planning, confidential material handling, and cross-functional production coordination.

Description

  • Manage daily and weekly recording schedules across internal and external studios
  • Arrange bookings for voice talents, Artistic Directors, Sound Operators, and recording rooms
  • Verify the availability of talent and technical resources
  • Assign studios and resources while resolving scheduling conflicts
  • Coordinate with talents, Artistic Directors, Sound Operators, Production Coordinators, Project Managers, and studio personnel
  • Monitor schedule updates, cancellations, rescheduled sessions, pickups, retakes, and urgent operational requests
  • Confirm that recording materials and session instructions are ready in advance
  • Distribute and monitor materials securely in line with confidentiality requirements
  • Prioritize recording slots and resolve conflicts with Production Coordinators and Project Managers
  • Identify and escalate operational risks ahead of time
  • Manage actor access and direct them to the appropriate recording studios
  • Negotiate one-off rates in accordance with the established strategy
  • Provide recording-status updates to the Production Coordinator
  • Keep calendars, planning tools, trackers, spreadsheets, and scheduling systems current
  • Maintain records of sessions, confirmations, changes, cancellations, rescheduling, and costs
  • Develop and maintain booking guidelines while documenting project requirements
  • Enhance processes and tools to reduce booking mistakes, expenses, and inefficiencies
  • Improve recording-booth utilization
  • Maintain administrative data covering supplies, bookings, sessions, and payment-related information
  • Handle documentation for talents, vendors, and external audio resources
  • Collect signatures and organize and archive contracts, NDAs, Actors’ Agreements, and vendor records
  • Maintain consistent communication across the local Audio Production Team
  • Respond to internal and external stakeholders promptly and professionally
  • Assist with client-facing work as needed
  • Provide operational coverage for Production Coordinators and the Recording Studio Manager during absences or peak workloads

Requirements

  • Prior experience in production coordination, booking, planning, casting, dubbing, audiovisual production, localization, or a related field
  • Strong organizational skills with the ability to manage multiple schedules at once
  • Excellent written and spoken English communication skills
  • Working knowledge of Google Workspace, Excel or Sheets, shared calendars, and operational trackers
  • Adaptability to changing workflows and new tools
  • Ability to perform under pressure, adjust to shifting priorities, and meet deadlines in a fast-paced setting
  • Proactive, dependable, detail-focused, and responsive to urgent needs
  • Ability to communicate effectively with talents, vendors, technical teams, and internal stakeholders
  • Ability to handle sensitive, confidential, and client-related information appropriately
  • Sound judgment when prioritizing work and negotiating rates and availability with external resources
  • Strong problem-solving, decision-making, organizational, and analytical abilities
  • Collaborative and motivated approach, with a willingness to learn and use company-specific tools and methods
  • Submit a CV in English
  • Spanish language skills are an advantage
  • Familiarity with the video game industry is an advantage
  • Knowledge of relevant local regulations is an advantage
  • Experience in dubbing, game localization, voice-over, or audio post-production is desirable
  • Understanding of recording-studio workflows is desirable
  • Experience with contracts, NDAs, freelancer payments, or vendor documentation is desirable
  • Familiarity with file-transfer tools and material-tracking processes is desirable
