Admissions Coordinator – Behavioral Health (Remote, California)

Support behavioral health admissions for First Responder Wellness by managing inquiries, insurance verification, assessments, documentation, referrals, and client communication.

Description

  • Support daily operations for the Admissions Department
  • Act as the first contact for prospective clients, families, first responder departments, peer-support teams, EAPs, and referral partners
  • Handle phone calls, texts, emails, website inquiries, and referrals
  • Collect demographic, behavioral health, substance use, treatment history, insurance, and referral details
  • Recognize behavioral health, medical, safety, intoxication, and withdrawal concerns and escalate them appropriately
  • Explain programs, care levels, admission requirements, expectations, and next steps
  • Schedule comprehensive assessments with Admissions Counselors and Senior Admissions Counselors
  • Collect insurance details and support benefits verification
  • Coordinate with Admissions, Billing, Utilization Review, Clinical/Medical, and other departments
  • Keep timely, accurate records in Salesforce, the electronic health record, Call Tracking Metrics, and other systems
  • Follow up with prospective clients, families, and referral sources
  • Support admission scheduling, arrival details, transportation, required documentation, and related logistics
  • Ensure communication remains consistent when cases move between team members or shifts
  • Share non-clinical resources and referral information as directed
  • Keep current knowledge of behavioral health, substance use treatment, care levels, insurance processes, and referral resources
  • Build cultural awareness of first responders, public safety professionals, veterans, families, and peer-support teams
  • Maintain professional boundaries and separate admissions support from clinical assessment and treatment recommendations
  • Independently manage assigned leads, communications, tasks, and follow-up
  • Take part in meetings, training, continuing education, and organizational activities
  • Follow HIPAA requirements, confidentiality rules, professional boundaries, and ethical standards
  • Complete other assigned duties

Requirements

  • High school diploma or equivalent is required
  • Experience in behavioral health, substance use treatment, healthcare admissions, intake, customer service, crisis services, or a related area is preferred
  • Prior experience working independently in a remote setting is preferred
  • Knowledge of behavioral health or substance use treatment is preferred
  • Familiarity with first responder or public safety culture is preferred
  • Willingness to complete required cultural competency training
  • Ability to complete required training in behavioral health, crisis recognition, first responder cultural competency, peer support, or CISM
  • Strong computer skills and comfort working across multiple electronic systems
  • Ability to keep required organizational training and certifications current
  • Excellent communication, telephone presence, and rapport-building abilities
  • Strong organizational skills, time management, and attention to detail
  • Ability to handle competing priorities, leads, and communications at the same time
  • Ability to work independently and recognize when consultation or escalation is needed
  • Sound judgment and adherence to established admissions procedures
  • Cultural sensitivity when supporting first responders, public safety professionals, veterans, families, and diverse populations
  • Ability to identify potential behavioral health and safety concerns while staying within role boundaries
  • Strong written and verbal communication skills
  • Proficiency with Salesforce, EHR platforms, Call Tracking Metrics, Microsoft Office/Outlook, or similar tools is preferred
  • Knowledge of insurance verification and behavioral health benefits is preferred
  • Dependability, professionalism, discretion, accountability, and commitment to confidentiality
  • Reliable high-speed internet or Wi-Fi and telephone access
  • A private, quiet, professional workspace appropriate for confidential healthcare communications
  • Ability to protect HIPAA-compliant privacy and information security
