Executive Assistant – Washington, DC

Provide executive administrative support to Cayuse Holdings’ EUR-IO/EX Front Office in Washington, DC. Responsibilities include scheduling, travel coordination, classified-information handling, SharePoint administration, HR support, and Congressional reporting.

Description

  • Support the EUR-IO/EX Front Office, including the Executive Director, two Deputy Executive Directors, and Supervisory Post Management Officer, with high-level administrative and operational services
  • Schedule meetings, conferences, and teleconferences while coordinating rooms, technology, and other logistics
  • Research, route, draft, and edit correspondence and documents; analyze information and prepare executive summaries and action items
  • Control and coordinate the distribution of cables, correspondence, briefing papers, and memoranda
  • Prepare and deliver briefing books for Front Office executives
  • Complete special assignments and provide substantive operational support to the EX team
  • Maintain and update the SharePoint library for EX standard operating procedures and Management Notices
  • Provide backup coverage for other EUR-IO/EX Executive Assistants
  • Prepare, coordinate clearance for, and edit organizational charts, memoranda, SOPs, reports, and other office documents
  • Proofread, update, print, and maintain documentation and work records
  • Coordinate conferences and meetings
  • Manage executive travel arrangements, transportation, government travel orders, vouchers, taxi vouchers, and reimbursable expenses
  • Track and submit time and attendance records through State Department systems
  • Support annual performance evaluations and HR database submissions
  • Track Chief of Mission absences and prepare official EUR and IO responses
  • Lead coordination for annual EUR/IO-EX Congressional reporting
  • Act as the SharePoint site expert, enhancing accessibility, archiving, and functionality
  • Train and brief staff on SharePoint procedures and capabilities
  • Administer Outlook email groups and distribution lists
  • Maintain organizational charts, emergency contact details, and phone charts
  • Welcome visitors, respond to or route inquiries, and cover the EX entrance for guests
  • Maintain daily office calendars, supplies, inventory, filing systems, and databases
  • Monitor internal assignments, deadlines, and deliverables
  • Troubleshoot office equipment and follow through on issue resolution
  • Safeguard classified, sensitive, and personally identifiable information in accordance with established procedures
  • Apply sound judgment when interpreting guidelines, researching regulations, and escalating exceptions to the supervisor
  • Report to the Program Manager

Requirements

  • High school diploma plus at least five years of office experience supporting senior officials, or a two-year degree in Office Management, Business Administration, or a related field plus four years of office management experience
  • An active Secret clearance is required
  • Successful completion of a background check is required, and additional checks may apply
  • Ability to manage multiple priorities in a fast-paced office environment
  • Strong working knowledge of Microsoft Word, PowerPoint, and Excel
  • Excellent written and verbal communication skills for working with personnel and government agencies at all levels
  • Exceptional organization and attention to detail
  • Working knowledge of office policies, practices, and procedures
  • Ability to protect highly confidential information and use discretion
  • Ability to work independently and make sound decisions
  • Strong independent judgment when researching regulations and connecting guidelines to organizational efficiency
  • Basic accounting knowledge is helpful
  • Physical and mental capacity to perform job duties for extended periods
  • Ability to use computers and office productivity tools quickly enough to meet role demands
  • Ability to establish and maintain a productive, professional workspace
  • Ability to remain seated and work at a computer for extended periods
  • Willingness to work a flexible schedule, including holidays, when required
