Administrative Assistant II - Onsite in Milwaukee, Wisconsin

Provide advanced administrative support to leadership at Advocate Aurora Health, a nonprofit integrated health system. Manage confidential records, calendars, reports, and office operations onsite across two Milwaukee hospitals.

Description

  • Deliver, initiate, and prioritize complex confidential administrative support
  • Handle reception, scheduling, word processing, document distribution, file maintenance, and office-material research and presentations
  • Relieve department leaders and staff of administrative tasks through sound judgment and discretion
  • Resolve complex office situations and conflicts while planning and expediting workflow
  • Manage and prioritize calendars for appointments, meetings, and travel
  • Prepare agendas and coordinate meeting locations, refreshments, audiovisual needs, and documentation
  • Answer, screen, and place calls while welcoming visitors
  • Explain procedures, resolve issues, and balance competing needs
  • Draft and revise correspondence, memos, and documents; format layouts and assemble graphics, reports, and statistical information
  • Produce, display, and distribute reports
  • Present administrative materials, reports, and information to groups
  • Create and maintain filing systems and confidential records
  • Review and prioritize incoming mail and departmental documents
  • Research independently and compile, analyze, and summarize findings
  • Coordinate administrative tasks for special projects and assignments
  • Operate and maintain office equipment and order supplies when needed
  • Support clerical staff as a resource and provide training when required

Requirements

  • High school diploma or equivalent
  • Typically five years of experience providing administrative support
  • Strong ability to manage time and competing priorities
  • Ability to safeguard highly confidential information
  • Ability to prioritize office workflow and make sound administrative decisions
  • Initiative and independent problem-solving skills for office-related issues
  • Effective written and verbal communication with individuals, customers, and leaders
  • Proficiency with Microsoft Office, including Excel, PowerPoint, and Word, or comparable software
  • Ability to produce and assemble documents, reports, charts, graphs, and presentations of varying complexity
  • Ability to organize and manage data systematically
  • Strong organization, attention to detail, and accuracy
  • Ability to operate all equipment required for the role
  • Capacity to sit, stand, and walk for extended periods
  • Ability to use a keyboard continuously
  • Ability to occasionally lift items weighing up to 20 pounds
  • Functional speech, vision, and hearing
  • Ability to maintain concentration on fine details amid frequent interruptions
  • Ability to type, write, and perform data entry for extended periods
