Administrative Assistant 4 – Newport News, Onsite

Administrative Assistant supporting HII’s Nuclear Propulsion Test Engineering Department in Newport News, Virginia. Coordinates office operations including badging, travel, IT and facilities requests, meetings, events, and employee recognition.

Description

  • Establish and maintain administrative files
  • Screen callers and direct them to the appropriate contacts
  • Schedule meetings and conferences
  • Receive, route, and respond to mail
  • Proofread draft and completed documents for grammar and usage
  • Answer questions about office operations, policies, and procedures
  • Collect, compile, and report information for the supervisor’s assignments
  • Take and transcribe dictation when required
  • Support critical administrative operations for the Director of the Nuclear Propulsion Test Engineering Department
  • Coordinate visitor access, employee badging, travel accounting, IT and facilities requests, clinic scheduling, workflow processes, calendars, events, and employee recognition programs
  • Process invoices, payroll adjustment forms, security clearance forms, and facility service requests
  • Plan small events and staff meetings, including documenting minutes and action items
  • Organize directorate strategic documents and communications
  • Arrange food for working lunches
  • Coordinate and track rewards and recognition programs

Requirements

  • High school diploma or GED plus six years of additional education and/or experience
  • U.S. citizenship is required
  • Computer, administrative, or customer service skills needed to perform the role effectively
  • Experience with, or ability to complete training and qualification in, visitor protocol scheduling and coordination, including badging, parking, and pickup plans
  • Ability to manage department workflow, employee reporting relationships, and organizational hierarchy
  • Ability to create and process IT requests for computers, mobile phones, and access requirements
  • Ability to prepare and submit travel accounting documentation, including pre-trip authorizations, approvals, bookings, and expense reports
  • Ability to use ADTRAV and REZDESK for travel management
  • Experience processing invoices through Process Director
  • Ability to coordinate and track rewards and recognition activities
  • Experience processing payroll adjustment forms
  • Experience processing security clearance forms
  • Experience submitting facility service requests
  • Ability to plan small events and staff meetings and record minutes
  • Ability to organize directorate strategic documents and communications
  • Proficiency with Microsoft Outlook, Excel, PowerPoint, Visio, and SharePoint
  • Ability to submit Drive-In tag requests
  • Ability to plan meetings and record minutes and action items
  • Ability to manage clinic notices and communications
  • Experience supporting badging, including DBIDS and Red Badge
  • Knowledge of and experience with NNS systems and protocols preferred, including VMS, MyHR, CUAS, SMAX, ADTRAV, REZDESK, Process Director, FSRs, Drive-In tag requests, and access badges for SY or Naval Station locations
