Remote Plumbing & HVAC Office Manager, Customer Service and Dispatch
Remote office manager role covering customer calls, dispatch, scheduling, payments, payroll, and follow-up. Supports Offshore Launch’s operations for residential plumbing and HVAC businesses.
Tavsif
- Handle and schedule service, emergency, and estimate calls
- Create technicians’ daily schedules and adjust routes for emergencies
- Keep customers informed about technician arrival times
- Conduct post-job calls and follow up on open estimates using the SOP
- Sell and renew maintenance memberships
- Monitor jobs from booking through completion and invoicing
- Identify stalled, on-hold, or at-risk jobs
- Issue invoices, collect payments, maintain receivables, and support financing applications
- Manage permits, insurance certificates, licenses, and technician documentation
- Prepare accurate payroll for each pay period
- Provide the owner with weekly reports on calls, booking rates, completions, backlog, receivables aging, and memberships
- Keep field service software records accurate and up to date
- Assist with hiring and onboarding while managing office staff as the company expands
Talablar
- At least two years of experience in office management, dispatch, customer service, or operations coordination, preferably in plumbing, HVAC, or home services
- Practical experience using Housecall Pro, ServiceTitan, Jobber, or a comparable platform
- Strong spoken English and a confident, welcoming phone manner
- Highly motivated with exceptional attention to detail
- Able to manage calls, schedules, and follow-ups concurrently
- Available during US Eastern business hours
