Temporary Executive Administrative Assistant – Emory University

Support Emory University’s LGS Dean and Associate Dean with executive scheduling, travel, briefings, meetings, budgets, and divisional initiatives. Coordinate office operations, communications, projects, and administrative priorities in a hybrid role.

Description

  • Oversee the LGS Dean’s Office’s day-to-day operations
  • Deliver senior-level administrative support to the Dean and Associate Dean
  • Organize schedules and maintain executive calendars strategically
  • Arrange complex domestic and international travel
  • Develop thorough briefings in coordination with relevant offices
  • Facilitate effective communication with internal and external stakeholders
  • Coordinate meeting and conference logistics
  • Develop and track budgets and project proposals
  • Gather and analyze information for reports and presentations, including charts and graphs
  • Coordinate office readiness and preparations
  • Screen incoming correspondence and route or answer it as appropriate
  • Lead operational meetings and create recommendations and action plans
  • Help administer and interpret organizational policies and procedures
  • Supervise and schedule clerical or secretarial personnel when assigned
  • Process employee transaction paperwork and help investigate and resolve employee concerns
  • Represent the department in response to inquiries when appropriate
  • Provide ongoing and forward-looking support for internal and external assignments
  • Assist the Dean with university-wide and divisional matters, projects, and programs

Requirements

  • Bachelor’s degree in business administration, communications, or a related discipline plus three years of office administration or senior secretarial experience, or an equivalent blend of education, training, and experience
  • Experience using a range of personal computer software applications
  • Advanced command of Microsoft Office Suite and familiarity with varied digital platforms and administrative systems
  • Capacity to learn and adopt new technologies and software efficiently
  • Strong written, verbal, and interpersonal communication skills
  • Exceptional organization with a practical, solutions-focused approach
  • Ability to anticipate the Dean’s needs and prepare accordingly
  • Professional confidence, sound discretion, and willingness to challenge ideas respectfully
  • Typing or keyboarding speed of 60 accurate words per minute may be required
  • Residence in the state of Georgia
  • Ability to travel to Emory University as required
