Senior Executive Coordinator — University of Alberta (Hybrid)

Support Shared Services leadership at the University of Alberta through executive operations, strategic projects, committee coordination, and administrative team leadership.

Description

  • Oversee the AVP’s email, calendar, scheduling, recurring events, committee meetings, and strategic time allocation
  • Develop briefing materials for meetings and events
  • Align schedules with internal and external stakeholders
  • Monitor project milestones, deadlines, and deliverables
  • Provide the AVP with guidance and recommendations on sensitive matters
  • Draft and refine correspondence, memoranda, letters, reports, presentations, agendas, meeting materials, minutes, executive records, and disclosure documents
  • Organize committee meetings and assist with reporting to Board Committees
  • Manage portfolio projects, tracking, and follow-up activities
  • Lead, supervise, mentor, recruit, coach, and support the professional growth of the administrative team
  • Represent the unit in internal financial processes and monitor financial transactions
  • Oversee space planning, meeting-room reservations, third-party vendors, and unit equipment
  • Update and maintain portfolio website content
  • Maintain confidentiality and professional standards across portfolio activities

Requirements

  • An Office Administration Certificate and 7+ years of senior executive support experience are preferred
  • A high school diploma combined with equivalent education and 10+ years of experience may be considered
  • Demonstrated experience supporting strategic initiatives in a large, complex, unionized organization, preferably a post-secondary institution
  • Outstanding organization, multitasking, and problem-solving abilities
  • Strong leadership capability and experience building and developing high-performing administrative teams
  • Excellent written and verbal communication skills, including the preparation and editing of senior-level documents
  • Advanced critical-thinking and decision-making skills in a fast-paced, high-volume setting
  • Ability to oversee large strategic human resources projects through implementation and execution
  • Proficiency with Microsoft Office and Google Suite
  • Experience with PeopleSoft HCM/Financials, Google Suite, and Adobe Acrobat Pro is an asset
  • Ability to update web content when required
  • Knowledge of the University of Alberta or a comparable post-secondary institution is an asset
  • French-English bilingual written and spoken communication is an asset
