Accounts Payable Specialist – Remote United States

Manage invoices, payments, vendor records, and project accounting for Smart Tech Contracting’s data-center controls business. This full-time remote role is open across the United States and includes up to 5% travel.

Description

  • Process and code vendor and subcontractor invoices in Deltek.
  • Match invoices with purchase orders, contracts, receiving records, and supporting documentation.
  • Validate general ledger accounts, project numbers, phases, tasks, cost codes, and departments.
  • Manage invoice approval routing and follow up on pending approvals.
  • Review employee expense reports for policy and documentation compliance.
  • Prepare weekly payment runs covering ACH, checks, wires, and other electronic methods.
  • Reconcile vendor statements, answer inquiries, and resolve invoice or payment discrepancies.
  • Keep vendor records current, including W-9 forms, payment details, and insurance documentation.
  • Assist with new-vendor setup and independently validate requests to change banking information.
  • Track accounts payable aging and flag overdue invoices, credits, duplicate payments, and unusual transactions.
  • Supply accurate details on upcoming payment obligations to support cash-flow planning.
  • Prepare accounts payable accruals and assist with the monthly close.
  • Reconcile accounts payable subledger activity with the general ledger.
  • Support year-end Form 1099 preparation and reporting.
  • Provide records and assistance for financial audits, project audits, and compliance reviews.
  • Work with project managers and teams across accounting, procurement, and operations.
  • Help improve accounts payable procedures, workflows, and internal controls.
  • Deliver assigned tasks and work products on schedule and within budget.
  • Handle additional accounting and administrative duties assigned by the Controller.
  • Report directly to the Controller.

Requirements

  • Required hands-on experience with Deltek Vantagepoint or Deltek Vision accounting software.
  • At least three years of accounts payable or related accounting experience.
  • Working knowledge of general ledger coding, project accounting, and month-end close processes.
  • Track record of processing high invoice volumes accurately while meeting deadlines.
  • Proficiency with Microsoft Excel, Outlook, and other Microsoft 365 applications.
  • Strong attention to detail, organizational ability, problem-solving skills, and follow-through.
  • Strong written and verbal communication skills.
  • Professional handling of confidential financial and vendor information.
  • Ability to work independently and collaborate effectively with employees, project managers, and vendors.
  • Associate or bachelor’s degree in accounting, finance, business administration, or a related discipline.
  • Accounts payable experience in engineering, construction, data centers, systems integration, government contracting, or another project-based setting.
  • Experience with purchase orders, subcontractor invoices, project cost coding, reimbursable expenses, and approval workflows.
  • Familiarity with Form 1099 reporting and vendor compliance obligations.
  • Experience supporting multiple projects, departments, or legal entities.
  • Must live near a major U.S. airport.
  • A valid REAL ID or acceptable alternative, such as a passport, is required for business travel beginning May 7, 2025.
