Technical Virtual Assistant - CRM and Service Systems (Onsite)

Configure and manage CRM and service platforms for Acxelsus clients in an onsite technical virtual assistant role. Responsibilities include Xero integrations, workflow automation, reporting, user training, and marketing support.

Descriere

  • Configure service management platforms for job intake, scheduling, service records, quoting, and invoicing
  • Import products, parts, and other relevant business data
  • Convert real-world service operations into effective system configurations
  • Test complete workflows and fix issues before user acceptance testing
  • Coordinate with the platform vendor's support team
  • Implement and maintain integrations, starting with Xero for invoicing
  • Serve as the platform owner and primary internal expert after launch
  • Evaluate and deploy AI agents and workflow automation solutions
  • Produce service reports and management dashboards
  • Create platform invoices for transfer to Xero
  • Keep platform data accurate, including products, duplicate records, and pricing
  • Deploy new features, upgrades, and integrations
  • Provide backup support for basic inbound customer calls and emails
  • Deliver initial and ongoing platform training for new employees
  • Develop walkthrough videos, presentations, reference materials, how-to documentation, and process notes
  • Support marketing activities through LinkedIn content, graphics, short videos, sales presentations, website updates, and email campaigns

Cerințe

  • A degree or background in Engineering is preferred, especially in mechanical, HVAC, industrial, or related technical disciplines
  • At least three years of practical experience configuring or administering CRM, field service, ERP, inventory, or business management platforms
  • Previous experience training users on new software
  • Experience integrating Xero or another accounting platform is strongly preferred
  • Strong knowledge of service business processes and workflows
  • Ability to turn business processes into practical system configurations and troubleshoot workflow problems
  • Self-directed and hands-on, with the flexibility to learn new tools and handle responsibilities beyond a narrowly defined role
  • Practical experience with integrations, data management, reporting, testing, and user training
  • Hands-on familiarity with AI and automation tools such as ChatGPT, Zapier, Make, and n8n
  • Experience managing LinkedIn or other company social media channels
  • Proficiency with Canva, Photoshop, or comparable tools, plus basic video-editing ability
  • Strong written and spoken English communication skills
  • Ability to explain technical concepts clearly to non-technical stakeholders
