Executive Assistant - Philippines (Remote)

Provide high-level administrative support to the Managing Director of an Australian training and consulting organisation. Coordinate clients, training programs, communications, CRM records, meetings, and shifting daily priorities.

Description

  • Own the Managing Director’s calendar, appointments, meetings, and daily priorities.
  • Track schedules, deadlines, and commitments to keep work progressing on time.
  • Prepare meeting briefs, agendas, background information, and supporting documents for the Managing Director.
  • Anticipate competing demands and provide timely reminders, follow-ups, and escalation.
  • Arrange internal meetings, client appointments, training sessions, and presentations.
  • Keep meeting information, attendee details, records, notes, documents, and action items up to date in Zoho and SharePoint.
  • Follow up after meetings and monitor outstanding commitments with relevant stakeholders.
  • Organize and prioritize incoming email, draft polished responses, and manage correspondence.
  • Communicate with clients and stakeholders through email, telephone, and video meetings.
  • Prepare materials for training sessions, workshops, presentations, and client meetings.
  • Create and manage Zoom meetings, providing technical support for breakout rooms and related features.
  • Support virtual training programs and client presentations by distributing materials and instructions.
  • Update client profiles, meeting records, and activities in Zoho, and maintain organized digital files in SharePoint.
  • Monitor digital systems, resolve basic technical issues, improve workflows, and apply AI tools to routine tasks.
  • Contribute to the research and development of training programs, learning materials, modules, and educational resources.
  • Track project schedules, deliverables, and unresolved actions.
  • Provide occasional assistance with marketing collateral, communications, and social media work.

Requirements

  • Demonstrated experience as an Executive Assistant, Executive Coordinator, Operations Coordinator, or in a comparable role supporting senior executives or business owners.
  • Experience working with Australian clients or businesses is strongly preferred.
  • Substantial experience managing calendars, coordinating meetings, handling email, and providing executive administration.
  • Experience with Zoho CRM or a comparable CRM system is highly desirable.
  • Proficiency in Microsoft Office, SharePoint, Zoom, and other digital collaboration platforms.
  • Excellent written and spoken English, with the confidence to communicate directly with clients.
  • Strong organization, close attention to detail, and the ability to balance multiple competing priorities.
  • Experience supporting virtual training, workshops, or presentations is an advantage.
  • Exposure to franchising, consulting, training, or professional development is highly valued.
  • A degree in Psychology, Business Administration, Communications, or a related discipline is advantageous.
  • Familiarity with AI tools, research, and content development is a plus.
  • Able to anticipate requirements, take initiative, and complete follow-through without constant prompting.
  • Able to quickly interpret instructions, retain key details, and reduce the need for repeated explanations.
  • Communicates with clients and internal stakeholders in a professional, confident, and constructive manner.
  • Willing to learn new systems, resolve basic technical problems, and improve processes.
  • Genuine interest in psychology, communication, business relationships, and professional development.
