Executive Administrative Assistant at Johnson & Johnson - Boston/Cambridge Hybrid

Provide executive and administrative support to Johnson & Johnson Innovative Medicine leaders while coordinating office operations in Boston/Cambridge. Responsibilities include calendar and travel management, meeting coordination, recruitment support, and confidential information handling.

Description

  • Support the Vice President and Head of Integrated Drug and Tech Discovery within Innovative Medicine’s Interventional Oncology organization
  • Provide limited administrative support to leaders across the Integrated Drug and Tech Discovery team
  • Coordinate daily office operations for on-site teams
  • Manage complex calendars across multiple time zones and prepare meeting materials, pre-reads, and logistics
  • Coordinate travel, itineraries, accommodations, and expense reporting in line with company policies
  • Support activities and on-site meetings at the Boston/Cambridge office
  • Coordinate team and leadership meetings, including logistics, speakers, and venues
  • Support administrative colleagues within Interventional Oncology and provide backup coverage for other administrative staff
  • Partner with Human Resources on job postings, interviews, onboarding, and offboarding for employees and contractors
  • Maintain current knowledge of company policies, procedures, and guidelines
  • Deliver results with minimal day-to-day supervision
  • Handle sensitive documents and information with discretion and professionalism

Requirements

  • High school diploma required
  • At least eight years of high-level assistant or office management experience required
  • Strong organizational skills
  • Excellent written and verbal communication, attention to detail, and effective multitasking abilities
  • Willingness to handle a broad range of responsibilities
  • Ability to manage competing priorities in a fast-paced, demanding environment
  • Ability to prioritize and complete work with minimal direction or supervision
  • Ability to work effectively with staff, senior leaders, and executive leadership across internal and external partner organizations
  • Advanced proficiency in Microsoft Office, including Word, Outlook, Excel, and PowerPoint
  • Proficiency with eMarketplace and Concur
