Part-Time Administrative Assistant - Clubhouse Services

Part-time administrative support role with Vinfen’s clubhouse services for adults with psychiatric conditions. Responsibilities include phones, mail, billing records, reports, and general clerical operations.

Description

  • Greet clubhouse members and visitors, then direct them to the appropriate staff member or work area
  • Answer and route telephone calls, assist with messages, monitor voicemail, and maintain corporate phone listings
  • Route inquiries and questions to the appropriate individuals
  • Operate and maintain the fax machine, sending faxes and distributing received faxes to mailboxes
  • Maintain the postage machine and apply the correct postage to outgoing mail
  • Distribute mail, update mailboxes, and prepare regular and express packages for shipment
  • Monitor supplies including envelopes, mailing materials, and stationery
  • Prepare forms for Vinfen submission and billing under the direction of the Program Director
  • Process documentation related to service delivery
  • Compile standard reports as directed by the Program Director
  • Provide clerical support by typing correspondence and creating spreadsheets
  • Work collaboratively with Clubhouse members to complete administrative activities
  • Handle other related duties as assigned

Requirements

  • High school diploma or equivalent required
  • Familiarity with personal computer applications and office equipment
  • Strong organizational and communication abilities
  • Professional and courteous work style
  • Clerical training preferred
  • Ability to lift at least 25 pounds using proper lifting techniques
  • Ability to use a computer and office equipment including a calculator, copier, and printer
  • Ability to remain stationary for approximately 50% of the workday as needed
  • Ability to bend, reach, file, sit, stand, and move throughout the facility
  • Ability to speak, hear, and communicate with people served, staff, and external representatives
  • Close, distance, color, peripheral, and depth vision, along with the ability to adjust focus, are required
  • Driving is not required
