Executive Assistant, GTM Data & Intelligence — Autodesk, Toronto Hybrid

Support Autodesk’s GTM Data & Intelligence leadership through executive administration, calendar and travel management, meetings, communications, events, expenses, and confidential operational coordination.

Description

  • Manage the Sr. Director of GDI’s complex calendar
  • Arrange executive travel, including itineraries, travel requirements, visa processes, and logistics
  • Travel with the executive as needed, approximately 2–4 times annually
  • Coordinate internal and external meetings, covering agendas, materials, technology, and logistics
  • Support leadership meetings, staff meetings, All Hands, manager calls, planning sessions, and employee and business reviews
  • Record meeting notes, document action items, and monitor follow-up
  • Track expenses and purchase orders in coordination with Finance and accounts payable
  • Maintain recurring meeting cadences, leadership communications, team coordination, and administrative follow-through
  • Oversee event logistics, including venues, audiovisual services, catering, communications, materials, travel details, and onsite execution
  • Coordinate GDI-wide communications by gathering inputs, drafting materials, and formatting updates
  • Maintain Slack channels, email aliases, distribution lists, directories, and other team information systems
  • Protect confidential employee, operational, organizational, leadership, and business information
  • Develop effective working relationships across the organization and with external partners
  • Improve administrative processes, meeting logistics, documentation, information management, and day-to-day coordination

Requirements

  • Bring 2–5 or more years of experience supporting senior leaders in an administrative capacity
  • Demonstrate experience managing complex calendars, coordinating meetings, preparing materials, supporting communications, booking travel, and processing expenses
  • Work effectively in a fast-paced environment that demands prioritization, precision, discretion, and dependable follow-through
  • Handle confidential and sensitive information with professionalism and sound judgment
  • Adapt readily to ambiguity and change while staying organized and adding structure to administrative processes
  • Communicate effectively in written and spoken English
  • Use Microsoft Office and collaboration platforms such as Outlook, PowerPoint, Excel, Word, Slack, Microsoft Teams, and Microsoft SharePoint
  • Have experience coordinating meetings, events, travel, onboarding logistics, team documentation, or internal communications
  • Bring prior experience planning global offsites, events, and All Hands meetings
  • Build productive working relationships through strong interpersonal skills
  • Contribute as a results-focused team player with a customer-service mindset
  • Prior experience in the technology industry is preferred
  • Be able to travel locally and internationally for events or internal meetings approximately 2–4 times per year
