Employee Relations Case Manager, Talent and Culture

Manage confidential Employee Relations investigations, Title IX proceedings, case records, and related HR processes at West Virginia University. Coordinate documentation, deadlines, communications, reporting, and process support across sensitive employee matters.

Description

  • Support Employee Relations investigations involving workplace concerns, Title IX, BOG Rule 1.6, the Code of Conduct, and related procedures
  • Maintain complete, confidential, accurate, and audit-ready investigation files, databases, and records
  • Prepare correspondence, organize documentation, monitor deadlines, and help bring cases to timely closure
  • Review interview transcripts and case materials for completeness, formatting, and recordkeeping compliance
  • Develop investigation notices, case summaries, timelines, evidence packages, interview materials, reports, and related documents
  • Monitor investigation schedules, procedural obligations, action items, and case statuses, providing updates to leadership
  • Facilitate informal resolutions and employee-concern processes through scheduling, documentation, communications, and follow-up
  • Collect and organize records for FOIA and public-records requests, the General Counsel, leadership, audits, and authorized inquiries
  • Maintain case-management templates, procedures, checklists, and tracking tools while supporting metrics, reporting, trend analysis, and process improvements
  • Oversee Employee Relations intake channels, answer general questions, and direct concerns to the appropriate parties
  • Explain general procedures related to investigations, Employee Relations discipline, Title IX, and associated processes
  • Refer employees, students, supervisors, and other stakeholders to campus and community resources
  • Coordinate Title IX advisor assignments, meetings, hearings, notices, materials, technology, accessibility accommodations, communications, and logistics
  • Safeguard confidential Title IX case, hearing, and advisor-assignment records while monitoring required deadlines
  • Support performance management, corrective actions, probationary reviews, non-renewals, limited-term appointments, FSAP referrals, terminations, and related activities
  • Coordinate employment actions with Shared Services, Benefits, Payroll, and other authorized stakeholders
  • Work with third-party contracting and staffing agencies on employment-practice questions and documentation
  • Compile and organize data related to Employee Relations discipline, performance, workplace conflict, and associated processes
  • Support training materials, templates, process guides, special projects, and backup intake or HR representative responsibilities

Requirements

  • Bachelor’s degree in communications, business, or a related discipline, or equivalent professional experience
  • At least two years of program management experience
  • An equivalent combination of relevant education and experience may be accepted
  • Sound judgment when handling sensitive, unusual, and unpredictable circumstances
  • Discretion and discernment when responding to high-risk, personal, and emotionally charged situations
  • Ability to work effectively in a fast-paced, confidential setting
  • Strong administrative skills with the ability to multitask and prioritize competing demands
  • Excellent written and spoken communication skills
  • Highly organized, detail-oriented approach with the ability to manage multiple deadlines and follow university policies and procedures
  • Ability to protect confidential information while handling sensitive and complex Human Resources matters
  • All qualifications must be satisfied by the date of employment
