ABA Client Services Coordinator - U.S. Healthcare (Remote, South Africa)
Coordinate therapist scheduling, family communication, and client pairings for a U.S.-based ABA therapy provider. This fully remote role supports the team from South Africa.
Description
- Manage therapist availability, schedules, and session-related updates
- Keep families and parents informed about scheduling, questions, and coordination needs
- Identify RBT and ABA Therapist candidates through multiple sourcing channels
- Match RBTs and ABA Therapists with clients using availability, location, and client needs
- Keep therapist and client records accurate across relevant systems
- Flag scheduling conflicts, staffing shortages, and unanswered requests for resolution
- Prepare and deliver clear, professional, empathetic messages to therapists and families
- Assist the broader team with administrative and coordination work
- Handle follow-ups and administrative duties that keep client services organised and moving forward
Requirements
- Excellent spoken communication skills
- Strong written communication abilities
- Previous experience in coordination, scheduling, administration, or client support is preferred
- Experience using ClickUp or CentralReach is a significant advantage
- Knowledge of ABA therapy, healthcare, disability services, or education is advantageous
- Highly organised and detail-oriented, with the ability to manage multiple follow-ups at once
- Self-directed and proactive, with the ability to own tasks and complete them without constant supervision
- Comfortable operating in a fast-paced environment with frequent communication
- Able to work independently and collaborate effectively with a broader U.S.-based team
- Available Monday through Friday from 09:00 to 18:00 EST, equivalent to 15:00 to 00:00 in South Africa, subject to daylight saving changes
- Access to a fixed fibre connection providing at least 25 Mbps upload and download speeds, with wired Ethernet capability
- Reliable backup power for load shedding or outages
