- Handle incoming calls, texts, and Google Local Services leads through a shared inbox.
- Log leads in the field service platform on the day they arrive and record their sources.
- Give customers arrival windows and follow through on promised callbacks.
- Maintain the dispatch board as the authoritative schedule.
- Schedule arrival windows and assign plumbers, helpers, and equipment.
- Manage all rescheduling requests.
- Check each open job daily from booking through completion and invoicing.
- Ensure plumbers record job updates and notes.
- Arrange return visits and flag jobs that may be delayed.
- Review outstanding estimates and coordinate follow-up.
- Audit paid invoices for job costs, commissions, fees, referral tags, and deposits.
- Confirm plumber commissions and helper hours before payroll.
- Monitor permits and send certificates of insurance to cities when needed.
- Send the owner a daily closeout summary covering sales, collections, and the next day's schedule.
- Turn recurring tasks into documented procedures.

- At least two years of experience as an office manager, dispatcher, customer service representative, or operations coordinator; field service experience in plumbing, HVAC, electrical, or a similar trade is preferred.
- Experience handling customer calls and texts as a core job responsibility.
- Experience managing a schedule or dispatch board for a field team.
- Practical experience with at least one field service platform, such as FieldPulse, Housecall Pro, ServiceTitan, Jobber, Workiz, or a comparable system.
- Clear, confident spoken and written English for phone conversations with US homeowners.
- A dependable remote work setup with stable internet, a quiet workspace, and a backup plan for outages.
