Remote Executive Assistant – Philippines

  • Oversee the client’s inbox and sort high-volume email by priority
  • Manage calendars, appointments, and scheduling
  • Arrange meetings with internal teams and external contacts
  • Track unread messages, pending deliverables, and unresolved action items
  • Keep the client informed about matters that need attention
  • Create priority lists and brief the client on urgent tasks, upcoming meetings, and preparation requirements
  • Highlight commitments one to two weeks ahead of time
  • Coordinate in-person meeting details, including rooms, catering, expense reports, and consultant travel
  • Schedule appropriate travel buffers around in-person appointments
  • Communicate with professionalism and discretion when supporting senior clients who operate large family enterprises
  • Provide occasional assistance with light marketing and administrative overflow

  • Provide an English proficiency rating using the CEFR framework
  • Submit a resume or Coconut VA Profile in the required English-language format
  • Record a one-minute introduction video, preferably with Loom
  • Demonstrated experience managing Outlook and executive calendars
  • Ability to proactively coordinate schedules, travel arrangements, and executive priorities
  • Excellent communication skills and a polished, professional manner with executives and clients
  • Highly organized, attentive to detail, and proactive in managing responsibilities
  • Able to follow up tactfully and determine task priorities
  • Able to manage confidential information with discretion
  • Marketing support experience, particularly with Mailchimp, is preferred
  • Familiarity with Wix, Canva, and PowerPoint is preferred
  • Experience supporting executives or high-touch executive-level clients is preferred
  • Experience with Microsoft 365, Outlook, SharePoint, Microsoft Planner, Mailchimp, Wix, Hubdoc, Canva, PowerPoint, Slack, Teams, WhatsApp, and text messaging
