Operations Associate – Headway (Remote, United States)

Support Headway’s mental healthcare platform and Supervisory Billing program through state launches, clinician approvals, compliance operations, documentation, and contractor support.

Description

  • Support state-launch scoping and setup, including research into license requirements and verification methods
  • Confirm Verifiable and CVO coverage, coordinate paneling and vendor updates, and maintain the state playbook
  • Manage supervisee onboarding and approvals, including go-live decisions, rejection communications, tracker maintenance, supervisor checks, and Supervisor Quality Committee preparation
  • Maintain a state-by-state knowledge base of license requirements
  • Create launch SOPs and maintain CX guidance and enablement materials
  • Support contractor training and quality oversight
  • Handle complex and exception cases escalated by contractors
  • Triage and resolve tickets and escalations from providers, group practices, CX, PGAs, CS, and Engineering
  • Collaborate with Data and Engineering on product and process improvements
  • Support compliant processes for graduation, license-expiration tracking, supervisor reassignment, and removal of onboarding blocks
  • Partner with Data on operational fields, tracking, and dashboards

Requirements

  • 1–3 years of experience in operations, compliance, or process-focused coordination
  • Experience in healthcare, licensing, or another regulated industry is advantageous
  • Strong attention to detail and ability to manage a high-volume daily process
  • Ability to produce clear SOPs, playbooks, guides, and other documentation
  • Ability to work through ambiguity and quickly learn state-specific requirements
  • Strong communication skills for cross-functional collaboration
  • Authorization to work for any U.S. employer is required
  • Disclosure of whether visa sponsorship is needed now or in the future is required
