Executive Assistant and APAC Office Manager — Sydney Hybrid

Support Workiva’s regional leaders as an Executive Assistant and APAC Office Manager in Sydney. Oversee executive operations, workplace logistics, culture initiatives, and regional events across four office hubs.

Description

  • Coordinate complex executive calendars across regional time zones and high-priority meetings
  • Arrange international travel, visa logistics, and leadership expense reporting
  • Prepare executive correspondence, supporting documents, and presentation materials
  • Serve as the main administrative point of contact for tracking and completing key actions
  • Coordinate administrative work and special projects across regional teams
  • Organize leadership offsites, quarterly business reviews, and strategic planning meetings
  • Maintain consistent workplace standards across four APAC office locations
  • Work with global facilities teams on local vendors and office operations
  • Manage on-site requirements including building access, visitors, seating arrangements, and workplace safety across multiple offices
  • Lead regional culture activities, team celebrations, and internal community events
  • Partner with People Operations to improve local onboarding for new employees

Requirements

  • At least five years of experience supporting executive leaders in a high-growth technology or SaaS organization
  • Experience overseeing office operations across multiple Asia-Pacific locations and time zones
  • Working knowledge of Google Workspace, Microsoft 365, Slack, travel booking platforms, and expense management tools
  • Excellent written and verbal communication skills for working with stakeholders at every level
  • Experience creating administrative processes in a fast-paced environment
  • A proven record of leading employee culture initiatives and large corporate events with strong attention to detail
  • Willingness to travel occasionally within Asia-Pacific for offsites and office management responsibilities
