Event Experience Coordinator

Coordinate race-stadium activations and guest operations for SailGP’s global sailing championship. The role spans partner and supplier coordination, ticketing, guest communications, and live event delivery.

Aprašymas

  • Coordinate commercial activations across SailGP Race Stadiums and the Paddock, from planning through delivery.
  • Maintain activation briefs, trackers, schedules, action logs, and supporting documentation.
  • Coordinate with internal teams, partners, event stakeholders, suppliers, and agencies.
  • Lead on-site activation coordination and support the Experience team and Operations Leads.
  • Manage the customer-facing inbox, respond to guest enquiries, and coordinate resolutions.
  • Flag risks, gaps, and conflicting requirements, and help develop practical solutions.
  • Gather event feedback and record key learnings.
  • Manage guest lists, ticket allocations, portal content, and communications in the Guest Management System.
  • Coordinate invitations, confirmations, guest data, and reporting for Adrenaline Lounge and other Experience events.
  • Create and manage content and assets for the Guest Portal and Partner Hub.
  • Coordinate guest requests and allocations with Partnerships, Team Services, local event teams, and senior management.
  • Maintain project trackers, action logs, schedules, run sheets, and event records.
  • Coordinate information, deadlines, and actions across concurrent events and workstreams.
  • Manage inboxes and process orders.
  • Assist with purchase orders, invoices, budget tracking, and supplier administration.
  • Prepare activation briefs, presentations, event guides, and operational documents.
  • Support event planning and delivery, including capacity, scheduling, access, and operational needs.
  • Provide on-site support during event build and live days at the Race Stadium and Paddock.
  • Assist with post-event administration, feedback, reporting, and record updates.

Reikalavimai

  • Stay organised and detail-focused while managing several workstreams and deadlines.
  • Bring strong administration and project coordination skills, including experience with trackers, guest data, and event records.
  • Communicate effectively and manage stakeholders; lead meetings, guide conversations, and present updates to senior colleagues.
  • Adapt to shifting priorities and take on responsibilities as the Experience team’s needs change.
  • Take initiative, identify problems, and own their resolution.
  • Work effectively in a fast-moving live event setting where priorities may shift quickly.
  • Learn and use new systems and processes, including guest management and ticketing platforms.
  • Collaborate well and build relationships with a broad range of internal and external stakeholders.
  • Have experience in events, hospitality, guest experience, commercial activations, or a similar coordination role.
  • Be willing to travel internationally.
