Senior Executive Administrative Assistant, Cybersecurity

Provide executive administrative support to Wolters Kluwer’s CISO and information security leadership. Manage calendars, governance, travel, onboarding, reporting, procurement, and day-to-day team operations.

Description

  • Manage the CISO’s complex calendar by scheduling priorities and resolving conflicts across time zones
  • Arrange meetings and conference calls, prepare agendas, distribute materials, and track action items
  • Act as the CISO’s primary point of contact and gatekeeper
  • Draft, proofread, and edit the CISO’s emails, presentations, and correspondence
  • Coordinate logistics for Security Councils, Governance Committees, and Leadership Forums
  • Maintain governance calendars, meeting schedules, document repositories, agendas, minutes, and decision records
  • Organize team events, offsites, workshops, and leadership meetings
  • Arrange domestic and international travel and prepare and reconcile expense reports
  • Coordinate onboarding and offboarding, including equipment, system and access requests, workspace setup, and orientation scheduling
  • Maintain ClickTime records and prepare time and attendance reports
  • Manage shared drives and internal documentation
  • Coordinate executive visitors, external partners, and vendor meetings
  • Prepare reports covering contractor utilization, resource allocation, timesheet compliance, leave, headcount, open roles, and hiring status
  • Support month-end and quarter-end reporting processes
  • Coordinate budget reviews, purchase requests, purchase orders, invoices, vendor activities, contractor renewals, and contract approvals
  • Maintain records for security-related subscriptions and services
  • Protect confidential information with discretion and integrity
  • Track CISO and team deadlines, deliverables, and follow-ups
  • Improve administrative processes and team efficiency

Requirements

  • At least seven years of experience supporting executives, preferably in technology, cybersecurity, risk, audit, or corporate functions
  • Experience supporting VP, SVP, CISO, CIO, or other C-level executives
  • Experience coordinating global meetings across multiple geographies
  • Strong background in administrative reporting and workforce coordination
  • Exceptional organizational and time-management abilities with meticulous attention to detail
  • Excellent written and verbal communication skills
  • Demonstrated discretion and sound judgment with confidential and sensitive information
  • Excellent interpersonal and relationship-building skills
  • Proactive and dependable work style
  • Comfort working with senior executives
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, plus collaboration tools such as Teams, Zoom, and SharePoint
  • Familiarity with expense and travel platforms such as Concur
  • Ability to adopt and use emerging technologies, including AI tools used by Wolters Kluwer
  • Familiarity with procurement platforms such as Coupa
  • Ability to anticipate needs, work independently, and remain composed and effective under pressure
  • Professional, service-oriented, and collaborative approach
