Onsite Business Operations Analyst - Fairview Heights

Support DCSA investigative offices in Fairview Heights through administrative, operational, records, travel, personnel, and mission-support activities for All Native Group. Manage task tracking, sensitive information, office processes, and field operations in an onsite role.

Description

  • Provide daily administrative, operational, and mission support to DCSA regional leaders, field supervisors, managers, and staff.
  • Cover phones and desks while supporting programs involving travel cards, access lists, badges, rosters, equipment, vehicles, and training.
  • Coordinate calendars, schedules, conference rooms, reservations, and meeting logistics.
  • Apply and explain Department of Defense and DCSA policies and procedures.
  • Monitor mailboxes, assign actions, enter tasks into agency systems, and track responses.
  • Maintain records for office supplies, inventories, invoices, equipment, property, and vehicles.
  • Create, maintain, transfer, and dispose of electronic and paper records according to DCSA policy.
  • Safeguard, mark, account for, and destroy classified and Controlled Unclassified Information documents and files.
  • Draft, format, proofread, and finalize official correspondence, reports, presentations, and related documents.
  • Review incoming and outgoing materials for deadlines, grammar, formatting, and policy adherence.
  • Prepare, package, send, receive, and track classified and unclassified mail and shipments.
  • Record and monitor actions in task systems and spreadsheets, identifying active, approaching, and missed deadlines.
  • Maintain databases and spreadsheets covering suspense dates, facility assignments, customer requests, training, and operational data.
  • Compile and report training, quarterly, and field-action metrics.
  • Support civilian employee onboarding and offboarding, timekeeping, recruiting events, resume tracking, candidate communications, drug testing, clearances, and DEERS/CAC processing.
  • Schedule orientations, panels, workshops, briefings, training sessions, and recruiting events.
  • Assist with HCMO scorecards, newsletters, awards programs, ceremonies, position classification, and desk audits.
  • Provide investigative management and program support from work initiation through completion.
  • Maintain organization charts, Outlook distribution lists, and SharePoint content.
  • Review Defense Travel System submissions and assist with authorizations, reservations, approvals, vouchers, and travel inquiries.
  • Develop budget projections for travel, postage, supplies, training, and equipment.
  • Coordinate Government Owned Vehicle activities, including logs, dispatch, mileage, DPAS data, accidents, and check-rides.
  • Drive government or rental vehicles during duty hours for office operations, deliveries, transportation, and property disposal.
  • Coordinate equipment repairs, technical support, custodial services, safety inspections, and facility self-inspections.
  • Issue and manage building badges, identification badges, and keys.
  • Attend meetings, record and transcribe minutes, prepare read-ahead materials, and provide logistical support.

Requirements

  • At least two years of relevant administrative, program, or office-support experience.
  • Six years of relevant administrative, program, or office-support experience may substitute for a bachelor's degree.
  • Bachelor's degree or equivalent qualification.
  • Strong written and verbal communication skills.
  • Proficiency in English and Microsoft Office Suite.
  • Ability to handle Controlled Unclassified Information and classified material under DCSA policies.
  • Strong organization and multitasking skills.
  • Experience supporting senior executives or government agencies.
  • Familiarity with DCSA policies, investigative support activities, and automated task-management systems.
  • Ability to coordinate with multiple stakeholders while managing sensitive information.
  • Valid driver's license and ability to operate government-owned, GSA-leased, or short-term rental vehicles when required.
  • Proof of motor vehicle liability insurance and completion of GSA Defensive Driver training are required for vehicle operators.
  • Secret security clearance.
  • Ability to remain stationary for 75% of the workday.
  • Ability to move standard office equipment weighing up to 25 pounds.
  • Ability to work indoors for 90% of the workday.
  • Availability Monday through Friday from 8:00 a.m. to 5:00 p.m., with evening and weekend work as business needs require.
  • Ability to complete up to 10% local travel.
