Finance and Administration Manager

Lead finance, HR, IT, payroll, and field operations for Progressive Cleaning’s commercial janitorial services across Florida facilities.

Description

  • Lead finance, HR, and IT as part of the leadership team, with accountability for results.
  • Set quarterly priorities, contribute to quarterly and annual planning, and run weekly check-ins for your areas.
  • Monitor key performance measures across finance, HR, and IT.
  • Review and correct employee timecards in Swept each day.
  • Prepare timecard reports for review ahead of payroll deadlines.
  • Manage recruiting and hiring from job postings and candidate scheduling through offers, onboarding, and new-hire paperwork.
  • Maintain employee files and compliance records, and track document expirations.
  • Oversee compensation and benefits administration, including pay changes, plan enrollment, and vendor coordination.
  • Keep employee schedules and site assignments current.
  • Forward call-out notices and staffing updates to supervisors.
  • Keep cleaning checklists, work instructions, security procedures, and site information current in Swept.
  • Track supply requests, maintain supply lists, and resolve questions with field teams.
  • Order supplies and materials, follow deliveries, reconcile orders, and address vendor discrepancies.
  • Handle daily bookkeeping in QuickBooks Online, including bill entry, invoicing support, account reconciliation, and closing tasks.
  • Keep the QuickBooks Online product and service list up to date.
  • Prepare weekly financial summaries and monthly reports.
  • Support annual budgets and profit-and-loss reviews with historical data and variance tracking.
  • Coordinate filing requirements and deadlines with the external CPA.
  • Manage business software administration, including user access, licenses, and configuration across platforms.
  • Work with vendors and support teams to resolve platform issues and recommend fixes or upgrades.
  • Handle incoming calls, regular internal communications, event logistics, and coordination with outside organizations.
  • Use AI tools to draft content, research, and support administrative work.

Requirements

  • Bring 5–7 years of experience in operations, administration, or business support.
  • Show a record of delivering outcomes through supervisory work or independent ownership of a budget, function, or process.
  • Have hands-on experience managing timecards and schedules for a distributed or field-based workforce.
  • Have bookkeeping and financial reporting experience, including accounts payable and receivable, monthly close, and budget-to-actual tracking.
  • QuickBooks Online experience is strongly preferred.
  • Have experience working within financial controls and approval workflows.
  • Demonstrate the ability to work independently and remotely without daily supervision.
  • Have experience administering business software, including user access, permissions, and vendor coordination.
  • Be comfortable assessing and recommending new tools.
  • Communicate clearly in writing and be comfortable documenting processes.
  • Bring strong attention to detail.
  • Experience in commercial janitorial, facilities, or another field-services business is a plus.
  • Prior experience with Swept, QuickBooks Online, or HubSpot is a plus.
  • Social media content creation and community management experience is a plus.
  • Be comfortable using AI tools such as Claude.
