Event Manager – Corporate Events & Incentive Programs (Remote, U.S.)

Lead Paylocity’s corporate events portfolio and incentive programs for its cloud HR and payroll platform. Oversee production, vendors, budgets, stakeholders, and a 2–3-person team.

Description

  • Direct the company’s events portfolio and assigned incentive program experiences
  • Coordinate event planning, delivery, follow-up, and post-event reporting
  • Maintain the internal events calendar and oversee part of the Incentive Portfolio
  • Support incentive qualification criteria, communications, participant tracking, and post-program analysis
  • Manage stakeholder relationships and expectations for product delivery
  • Coordinate live production across AV, transportation, food and beverage, staffing, security, and logistics
  • Evaluate AV proposals, labor estimates, equipment specifications, and union requirements
  • Prepare run-of-show materials and partner with Multimedia teams on presentations, videos, and graphics
  • Direct onsite AV setup, rehearsals, show calling, production crews, cues, troubleshooting, and equipment readiness
  • Control schedules, budgets, vendor selection, contract negotiations, and talent and executive coordination
  • Complete site inspections and produce inspection notes, budgets, itineraries, and timelines
  • Prepare communications materials, signage, and name badges for participants and stakeholders
  • Build scalable event and incentive playbooks, frameworks, and standardized operating processes
  • Coach and mentor a 2–3-person team while supporting its development and advancement
  • Research and select destinations, hotels, venues, transportation, entertainment, and décor
  • Manage relationships with suppliers, venues, AV providers, caterers, transportation partners, and staffing agencies
  • Oversee procurement, contracting, compliance, and vendor performance
  • Partner with Sales, Marketing, executive leadership, HR/People & Culture, and Internal Communications
  • Support agenda planning, meeting content, run-of-show preparation, and communications rollouts
  • Travel to events to oversee setup, breakdown, logistics, and issue resolution
  • Prepare, monitor, reconcile, and report event budgets and program ROI
  • Define KPIs, evaluate post-event results, and recommend improvements
  • Monitor incentive qualification progress and prepare reports for Sales and Leadership
  • Lead planning calls and present results and optimization recommendations to leadership

Requirements

  • At least five years of experience managing internal corporate events and incentive programs
  • At least two years of experience managing teams
  • Bachelor’s degree in Event Management, Hospitality, Travel/Tourism, Marketing, or a related field preferred
  • Demonstrated experience leading internal corporate meetings, leadership events, employee engagement programs, and incentive travel
  • Strong capabilities in people leadership, project management, and time management
  • Ability to manage several large-scale programs concurrently
  • Experience overseeing budgets and completing financial reconciliations
  • Proficiency with Microsoft Office, including Excel, Word, and PowerPoint
  • Wrike experience is an advantage
  • Experience partnering across HR, Communications, Sales, and executive leadership
  • Understanding of internal communications principles and change-management support
  • Experience using event management platforms such as Cvent or Eventbrite
  • Experience with CRM platforms such as Salesforce
  • Familiarity with virtual platforms, mobile applications, and attendee engagement tools is an advantage
  • Advanced proficiency with AV and technical production tools
  • Ability to interpret AV quotes and labor specifications and apply knowledge of union guidelines
  • Ability to create and manage run-of-show documents and direct show calling
  • Willingness to travel for events, site visits, office visits, and occasional weekend work
  • Travel of up to 30% is required
  • Availability five days per week during designated working hours
