Billing Coordinator – Kansas City Hybrid

Manage legal invoicing, e-billing, client statements, and collections for Clyde & Co’s Kansas City operations in a hybrid full-time role.

Description

  • Review pre-bills against client guidelines, billing rates, and cost exceptions.
  • Prepare and distribute monthly pre-bills.
  • Meet with partners to review unbilled work and accounts-receivable inventory.
  • Process narrative changes and time or cost adjustments.
  • Gather receipts and supporting records for third-party client expenses.
  • Prepare client statements, timekeeper summaries, and invoice cover sheets.
  • Submit LEDES invoices through e-billing hubs and client websites.
  • Respond to questions about billed and unbilled amounts, payment status, and matter history.
  • Ensure invoices are distributed, mailed, and submitted electronically on schedule.
  • Enter fee and cost estimates into client e-billing platforms.
  • Maintain billing records and retrieve supporting documentation.
  • Support collections and escalate deductions or collection concerns.
  • Communicate with clients, attorneys, and staff by phone, email, and in person.
  • Support attorneys, clients, secretaries, and collections staff with billing and collection matters.
  • Handle special billing projects, analysis, and implementation of billing requests.
  • Produce reports as required.
  • Protect confidential Firm and client information.
  • Complete other duties as assigned.

Requirements

  • Two to five years of billing experience, preferably in a law firm.
  • Service-focused, self-directed, and motivated to deliver strong results.
  • Able to exceed the expectations of internal and external stakeholders.
  • Experience with Elite 3E is preferred.
  • Understanding of complex billing or e-billing systems with multiple workflows is desirable.
  • Advanced proficiency in Microsoft Excel and the Microsoft Office Suite.
  • Strong written, verbal, and interpersonal communication skills.
  • Able to build and maintain relationships with partners, attorneys, finance staff, clients, brokers, and other third-party vendors.
  • High school diploma required.
