Administrative Coordinator, Otolaryngology Education

Coordinate fellowship and medical student programs for OHSU, Oregon’s public academic health center, including accreditation, learner schedules, and educational events.

Description

  • Coordinate the review of ACGME fellowship applications
  • Manage fellowship interviews, including scheduling, logistics, candidate communications, and post-interview ranking discussions
  • Maintain fellowship records and reporting, and ensure compliance with ACGME accreditation requirements
  • Arrange fellowship onboarding, credentialing, and orientation
  • Act as a key contact for prospective, current, and former fellows
  • Work with faculty, institutional offices, and administrative teams to support fellowship programs
  • Coordinate visitor and volunteer requests and check compliance with onboarding policies
  • Manage medical student rotation schedules and serve as a contact for learners
  • Work with OHSU Undergraduate Medical Education to arrange elective rotations and support the ENT Interest Group
  • Oversee the Sub-Internship Program, from applications and communications to scheduling, onboarding, and rotation planning
  • Collect and manage medical student feedback and evaluations, and share results
  • Keep learner-program records, documentation, and reports up to date
  • Arrange departmental educational courses and lab training, including airway, temporal bone, and sinus dissection courses
  • Coordinate event registration, logistics, faculty, vendors, educational materials, and on-site operations

Requirements

  • Four years of general office or secretarial experience; or an associate degree or certificate in office occupations or office technology plus two years of general office or secretarial experience; or a bachelor’s degree plus two years of general office or secretarial experience; or an equivalent combination of training and experience
  • Intermediate proficiency with Microsoft Word, Excel, Outlook, and PowerPoint
  • Ability to protect confidential information and use discretion
  • Strong relationship-building skills
  • Excellent in-person and telephone customer service
  • Excellent interpersonal, conflict-resolution, and problem-solving skills
  • Active listening and supportive, professional conduct
  • Strong written and verbal communication
  • Ability to manage competing priorities, meet deadlines, and respond to urgent patient, physician, and system needs
  • Ability to work accurately without constant supervision
  • Reliable attendance and punctuality, with a record of successful performance

  • Availability for occasional in-office support and evening or weekend event hours
  • Preferred: experience arranging travel and coordinating interviews
  • Preferred: event coordination experience

  • Preferred: administrative support experience for multiple managers, faculty, or staff
  • Preferred: experience in a high-volume academic clinic with multi-line phones
  • Preferred: EPIC scheduling and template management experience
