Administrative Assistant, Cardiovascular Medicine — Ohio State Hybrid

Hybrid administrative role supporting Ohio State cardiovascular medicine faculty. Responsibilities span clinical scheduling, travel, finance, HR, facilities, communications, and events.

Description

  • Maintain accurate clinical assignments across QGenda, IHIS, and Outlook
  • Coordinate physician leave, clinic openings, and clinic closures
  • Prepare and submit physician expense reports within the required 60-day deadline
  • Arrange business travel and submit spend authorizations and required documentation
  • Support faculty onboarding, offboarding, and role transitions
  • Assist with staff onboarding and human resources processes
  • Coordinate calendars, communications, meetings, conferences, workshops, and special events
  • Prepare and distribute agendas, meeting materials, and follow-up communications
  • Address facilities and space needs for faculty and staff
  • Lead the development and maintenance of division clinical and call schedules using scheduling and template software
  • Communicate schedule details, locations, and scheduling issues to physicians
  • Manage urgent and special-request patient scheduling, along with priority scheduling projects
  • Track template updates, access availability, and revenue-cycle compliance
  • Provide calendar and travel support to Electrophysiology Cardiologist faculty
  • Coordinate financial, human resources, outreach and marketing, facilities, and space-related activities
  • Implement, assess, and revise administrative policies and procedures
  • Research and compile information for departmental reports, strategic planning, and decision-making
  • Initiate travel, eRequest, and Human Resources Action processes while serving as liaison with university offices, faculty, staff, and external agencies

Requirements

  • Final candidates must successfully complete a background check
  • A drug screen or physical examination may be required after an offer is made
  • Ability to work 40 scheduled hours each week
  • Ability to support administrative, operational, scheduling, financial, human resources, facilities, communications, and event logistics functions
