Accounts and Administration Officer (Remote, Philippines)

Remote, full-time accounts and administration role supporting a boutique legal services firm in the Philippines. Responsibilities include client records, document management, invoicing, bookkeeping support, and day-to-day coordination.

Description

  • Manage shared inboxes and handle incoming administrative requests.
  • Organize calendars, meetings, appointments, and resulting follow-up tasks.
  • Keep client and matter records, filing structures, and document controls accurate and up to date.
  • Support onboarding by gathering client information, sending forms, and monitoring outstanding items.
  • Prepare, proofread, and circulate correspondence, reports, and other business documents.
  • Monitor deadlines and action items, escalating issues when necessary.
  • Coordinate supplier, office, and team administration.
  • Keep contact, referral, and business opportunity records current.
  • Support proposals, engagement administration, and service delivery coordination.
  • Create and send invoices according to approved billing instructions.
  • Process supplier invoices and expenses while maintaining accounts payable records.
  • Record receipts, update accounts receivable records, and follow up outstanding payments.
  • Provide support with routine bank and credit card reconciliations.
  • Produce billing and administrative status reports and recommend process improvements.
  • Refine templates, checklists, and file management procedures as the business expands.
  • Take on other administrative responsibilities as needed.

Requirements

  • A bachelor’s degree in business administration, commerce, accounting, legal studies, or a related discipline is preferred.
  • At least three years of experience in administration, office coordination, or professional services support is required.
  • Background in a legal practice or legal services organization, including client and matter administration, is highly valued.
  • Hands-on experience with invoicing, expense entry, basic accounts payable and receivable, and routine reconciliations is required.
  • Strong Microsoft 365 skills, especially Outlook, Word, and Excel, are required.
  • Experience using bookkeeping software, practice management tools, or a CRM is highly valued, along with the ability to learn new systems quickly.
  • Professional written and verbal English, including accurate email drafting and client communication, is required.
  • Strong document preparation, proofreading, digital filing, and records management abilities are required.
  • Excellent organization, close attention to detail, and the ability to balance competing deadlines are required.
  • Discretion and sound judgment when handling confidential client, legal, and financial information are required.
  • Consistent adherence to documented approval procedures for billing, expenses, payments, and record access is required.
  • A practical, service-focused mindset for supporting a small team and improving repeatable processes is required.
  • Ability to work independently, seek clarification when appropriate, and promptly escalate errors or risks is required.
  • Ability to demonstrate these capabilities in a practical assessment covering email triage, document formatting, Excel, invoicing, and basic reconciliation is required.
