Apraksts

  • Lead logistics, vendor coordination, and delivery for major Questex events serving 500 to 5,000 attendees, with budgets reaching $2 million.
  • Coordinate operational communications by sharing deadlines, monitoring workflow changes, and distributing show-team requirements across departments.
  • Build and maintain detailed work-order schedules and timelines in Smartsheet for live, cross-functional visibility.
  • Act as the main operational contact for venues and decorating contractors.
  • Coordinate facility and utility services, including electricity, internet, plumbing, rigging, and decorator support.
  • Direct non-sponsored fulfillment for activations, Show Management spaces, and evening programs.
  • Manage external partners providing floral, transportation, décor, and security services.
  • Create and execute event Health & Safety and Security plans.
  • Advance sustainability programs through ongoing measurement and reporting.
  • Complete food and beverage orders and review Banquet Event Orders.
  • Administer hotel room blocks through Cvent when required.
  • Oversee invoice workflows and event operations budget control.
  • Direct the full production, placement, and management process for event signage.
  • Work with internal stakeholders, show management, and external suppliers to deliver complex activations and evening events.

Prasības

  • A demonstrated history of managing complex live events, generally with at least five years of experience and attendee counts from 500 to 5,000.
  • Practical experience with Cvent for registration, hotel housing, and attendee administration.
  • Practical experience with Smartsheet for project management, operational monitoring, and schedule coordination.
  • Experience overseeing and reconciling operational budgets of up to $2 million.
  • Strong knowledge of venue utility orders, general service contractors such as GES, rigging, internet and telecommunications, and health and safety requirements.
  • Experience processing invoices, reconciling finances, and reviewing Banquet Event Orders.
  • Highly effective communication across multiple teams and functions.
  • Meticulous attention to detail and the ability to adapt rapidly during high-pressure live events.
  • Excellent written and spoken communication skills.
  • A commitment to diversity, inclusion, and belonging.
  • Availability for occasional evening and holiday work.
  • Authorization to work in the United States without current or future sponsorship.
  • Questex cannot provide visa sponsorship.
