  • Manage the operational workflow for purchase orders assigned to two buyers
  • Prepare price-approval and wire-approval packets from buyer deal sheets
  • Include the required supporting documents with each approval request
  • Record outstanding approvals and follow up through the tracking system
  • Submit item-setup and vendor-setup requests to the ERP partner
  • Gather UPCs, package and master-carton measurements and weights, box photos, W-9s, resale certificates, and compliance records from vendors
  • Submit and validate purchase-order request details covering vendor, freight, payment, warehouse, sales group, and customer information
  • Review draft purchase orders line by line, approving them or returning them for complete corrections
  • Create retroactive purchase orders for card and marketplace transactions
  • Prepare wire requests with the approval, purchase order, proforma invoice, and paying account
  • Phone vendors to confirm banking information before submitting wires
  • Send wire confirmations and follow up on ship dates, tracking, invoices, and routing forms
  • Work with logistics to arrange pickups and monitor orders through delivery
  • Reconcile received quantities against paid quantities and report discrepancies
  • Prepare short-shipment or damage notices for buyer review
  • Gather invoices for accounting and keep records organized and up to date
  • Complete a 30-day paid pilot by independently managing the full purchase-order process for a new order and maintaining the open-items tracker

  • At least two years of hands-on experience in purchasing operations, order administration, supply chain administration, or accounts payable support for a distributor, e-commerce seller, or trading company
  • Practical experience managing purchase orders in an ERP or order-management system such as Dynamics AX, Dynamics 365, NetSuite, SAP, QuickBooks, or Odoo
  • Working knowledge of purchase orders, proforma invoices, freight terms, and payment terms
  • Professional written English without requiring a review step, with the ability to write to US vendors and finance staff
  • Confident spoken English for calling US vendors and verifying banking details
  • Strong Excel and Google Sheets skills, including lookups, clean table formatting, and comparing one list with another
  • Ability to maintain trackers, close follow-ups independently, and determine who owns a delayed item and how long it has been outstanding
  • Consistent accuracy when handling figures and attachments
  • Availability Monday through Friday, including at least six hours overlapping with 8 AM to 6 PM US Pacific Time
  • An updated resume is required with the application
  • A five-minute Loom video showing personally managed purchase-order or vendor-onboarding work from request through receipt, including a tracker and an example of identifying an error
  • Only applicants who submit a Loom video advance to the next hiring step
