Description

  • Audit incoming carrier invoices from FedEx, UPS, DHL Express, PostNL, and Deutsche Post
  • Review invoices for surcharges, dimensional-weight adjustments, address corrections, duty and tax back-charges, and other inaccurate fees
  • Investigate and challenge unsupported carrier charges, following each dispute through resolution
  • Maintain records of disputed charges and confirm that approved credits are received
  • Re-bill valid carrier charges to the appropriate customers
  • Monitor outstanding billing items and drive their collection
  • Manage customer billing, including shipment and service invoices, credits, refunds, dunning, and recovery of unpaid balances
  • Coordinate with carrier billing and account teams
  • Develop analyses to support carrier-rate negotiations with the Managing Director
  • Set requirements and priorities for the internal billing module
  • Partner with software developers on billing requirements, specifications, testing, and deployment
  • Help automate invoice imports, audit rules, and customer re-billing
  • Provide functional leadership to the part-time Billing Specialist
  • Maintain documentation for all billing processes
  • Produce monthly reports for the Managing Director
  • Find ways to replace manual reviews and spreadsheet-based work with automated billing processes

Requirements

  • At least four years of experience in billing, freight auditing, revenue operations, finance operations, or carrier or freight-forwarder back-office functions
  • Relevant experience ideally comes from a carrier such as DHL, UPS, FedEx, or TNT, a freight forwarder, an e-commerce or logistics company, telecom, or a shared service center
  • Demonstrated ownership of end-to-end processes, including creating, repairing, or documenting billing or reconciliation workflows
  • Confidence challenging charges with large organizations and pursuing resolution persistently
  • Advanced Excel or Google Sheets capability, including work with large invoice datasets, CSV exports, and reconciliations
  • Experience defining requirements for software developers or collaborating closely with them, or a strong interest in systems and automation
  • Fluent written and spoken English
  • Organized, analytical, and highly detail-oriented approach
  • Accuracy in detecting minor discrepancies and incorrect charges
  • Initial experience mentoring or guiding a junior colleague, or the maturity and ambition to take on that responsibility
