Remote Administrative Operations Specialist in Sri Lanka

Support Oceans Talent clients with calendar management, correspondence, travel coordination, and executive task organization. Help keep priorities moving through effective communication, follow-up, and operational support.

Description

  • Oversee and improve the client’s work calendar, including meetings, appointments, and events
  • Arrange meetings with internal teams, clients, and other stakeholders
  • Organize and prioritize daily responsibilities, meetings, and follow-up actions
  • Coordinate business travel logistics
  • Manage the client’s email, calls, and professional communications
  • Improve information flow by sharing relevant updates and data
  • Develop meeting materials such as agendas, presentations, and reports
  • Act as a communication link between the client and internal teams
  • Help maintain strong relationships with important stakeholders
  • Provide logistical assistance for meetings involving clients
  • Coordinate small projects and tasks that support strategic objectives
  • Research topics and consolidate relevant information
  • Monitor progress, follow up on outstanding work, and help keep milestones and deadlines on track
  • Collaborate with the executive’s internal teams and external stakeholders
  • Work under the direction and support of an Operations Manager

Requirements

  • Professional fluency in English, including excellent reading, writing, and speaking skills
  • Five or more years of experience in a communication-intensive role at a reputable organization
  • Strong interpersonal and organizational abilities
  • Ability to work inclusively with people from diverse backgrounds
  • Willingness to work a split shift with partial overlap with the client’s time zone
  • An undergraduate degree is preferred but not required
  • Relevant professional experience is valued
  • MBA, CFA, CIM, CIPM, or CIMA certification is considered an advantage
