Payroll Specialist - Canada Remote | Propelis

Manage multi-country payroll across Canada and the Americas for Propelis, with responsibility for audits, compliance, vendors, UKG Workforce Management, and payroll operations.

Description

  • Coordinate complex, multi-country payroll activities across the Americas.
  • Own end-to-end payroll cycles for assigned countries, with primary responsibility for Canada.
  • Manage employer-of-record providers.
  • Process, review, and approve monthly and off-cycle payrolls through UKG, ADP Celergo, and local payroll systems.
  • Administer UKG Workforce Management, including timekeeping, schedules, absences, pay rules, exceptions, approvals, interfaces, and issue resolution.
  • Conduct payroll audits and verify hires, terminations, compensation changes, variable pay, overtime, absences, benefits, deductions, and retroactive adjustments.
  • Reconcile payroll reports and confirm accurate outputs, statutory deductions, employer costs, and net pay.
  • Maintain compliance with local tax, social security, pension, statutory benefit, employment, and reporting obligations.
  • Serve as a key escalation point for complex payroll questions from employees, HR, Finance, managers, and vendors.
  • Work with ADP, UKG, and local payroll providers on processing, service-level performance, issue resolution, and ongoing improvements.
  • Support month-end and year-end payroll processes, statutory filings, reconciliations, financial reporting, employee documentation, and audits.
  • Create, maintain, and review standard operating procedures, payroll calendars, control documentation, and country-specific process maps.
  • Guide Payroll Specialists and contribute to cross-training across the Global Payroll Team.
  • Lead or contribute to payroll projects, system implementations, integrations, testing, standardization, and process improvements across the Americas.
  • Report to the Senior Payroll Manager.

Requirements

  • Five to eight years of relevant experience managing payroll across multiple countries, ideally within the Americas.
  • Comprehensive end-to-end payroll expertise covering pre-payroll audits, calculation review, statutory filings, post-payroll reconciliation, and issue resolution.
  • Strong knowledge of Canadian, US, and wider Americas payroll regulations, taxation, social security, pensions, statutory benefits, and employment-related payroll obligations.
  • Advanced Microsoft Excel skills.
  • Experience using global payroll platforms such as ADP Celergo, UKG, and Workforce Management systems.
  • Hands-on experience administering UKG Workforce Management is required.
  • Exceptional attention to detail, with the ability to detect variances, reconcile data, and strengthen controls across multiple software platforms.
  • Strong vendor-management capabilities.
  • Experience in a fast-paced HR or payroll environment, with the ability to manage competing deadlines across several jurisdictions.
  • Ability to mentor, guide, and support colleagues within regional and global payroll teams.
  • Experience with EOR payroll operations or payroll vendor transitions across the Americas is advantageous.
  • PayrollOrg, CIPP, GPA, NPI, or comparable payroll association certification is advantageous.
  • Additional language skills are advantageous.
  • Experience with payroll transformation, mergers and acquisitions, new-country implementations, system integrations, or global program rollouts is advantageous.
