Executive Administrative Assistant, Contract (Hybrid)

Support two Broadridge senior leaders with complex calendars, travel, expenses, meetings, and business initiatives. This hybrid contract role serves teams in New York City, Newark, or Houston.

Description

  • Manage complex calendars for two senior leaders, including scheduling, prioritization, meeting coordination, and conflict resolution
  • Arrange domestic and international travel, covering flights, accommodations, ground transportation, itineraries, and required travel documents
  • Prepare, submit, and monitor expense reports accurately and promptly while following company policies
  • Coordinate meeting logistics, including invitations, agendas, materials, room or virtual meeting setup, and attendee communications
  • Provide light business and meeting preparation support by gathering background information, coordinating stakeholder input, and assisting with agendas, briefing materials, presentations, and notes
  • Learn the leaders’ priorities and key initiatives to anticipate needs, prepare for meetings, and help complete action items on time
  • Maintain trackers, organize supporting materials, and coordinate administration for selected business initiatives as needed
  • Manage sensitive information with discretion, professionalism, and sound judgment
  • Assist with additional administrative and operational responsibilities as required

Requirements

  • At least 2–4 years of experience supporting senior leaders in an administrative, executive assistant, or comparable role
  • Bachelor’s degree preferred, or equivalent professional experience
  • Ability to manage competing priorities independently while maintaining exceptional attention to detail
  • Strong written and verbal communication skills
  • Proficiency with calendar, travel, presentation, and expense management tools
  • Ability to understand business priorities quickly and turn information into clear, organized meeting materials and follow-up actions
  • Strong organizational, analytical, and problem-solving abilities, with attention to detail and awareness of broader business objectives
  • Experience with expense billing, data collection, and presentations
  • Professional, discreet, confidential, and service-oriented approach
  • Located in New York City, Newark, New Jersey, or Houston, Texas
