Bilingual Medical Patient Coordinator

Support a U.S. ultrasound and diagnostic practice by coordinating patient calls, insurance checks, cost estimates, appointments, and remote check-ins. Communicate with patients in English and Spanish.

Description

  • Manage high volumes of incoming patient calls.
  • Assess inquiries, identify patient needs, and direct calls to the appropriate contact.
  • Communicate with patients in English and Spanish.
  • Manage incoming and outgoing communications through RingCentral.
  • Answer questions about appointments, insurance coverage, clinic services, and scheduling.
  • Check insurance eligibility, active coverage, plan benefits, and requirements.
  • Determine deductibles, copays, coinsurance, and other patient costs.
  • Estimate patient costs and explain them before scheduling.
  • Flag insurance discrepancies and arrange follow-up.
  • Keep insurance documentation and patient records accurate.
  • Schedule and coordinate appointments.
  • Collect and verify demographic, insurance, and intake details.
  • Coordinate with the clinic team on site.
  • Provide remote front desk support and patient check-ins using a tablet or camera-based system.
  • Assist with remote patient intake and registration.
  • Use EMSOW PACS, the cloud-based ultrasound imaging system.
  • Follow clinic workflows, documentation standards, HIPAA rules, and confidentiality requirements.
  • Prioritize calls, scheduling, insurance checks, and front desk support during busy clinic hours.

Requirements

  • Fluent spoken and written English and Spanish is mandatory.
  • Prior experience in U.S. healthcare administration, medical reception, medical scheduling, or virtual medical assistance.
  • Practical experience checking U.S. patient insurance eligibility, coverage, and benefits.
  • Ability to estimate patients' out-of-pocket costs.
  • Experience handling high volumes of incoming calls in a medical or healthcare setting.
  • Experience with appointment scheduling, patient inquiries, and intake tasks.
  • Strong understanding of healthcare administrative workflows.
  • Excellent attention to detail, organization, and multitasking skills.
  • Ability to prioritize calls, insurance checks, scheduling, and front desk support.
  • Ability to work independently with minimal supervision.
  • Knowledge of HIPAA requirements and patient confidentiality standards.
  • Ability to work collaboratively with on-site clinic staff.
  • Must work exclusively with the assigned practice during scheduled hours, with no overlapping employment or client commitments.
  • Must provide an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with the camera on when required.
  • Must work Monday through Friday, 8:00 AM to 5:00 PM Eastern Time.
  • Must follow HIPAA-compliant practices and protect patient confidentiality.
  • Reliable laptop or desktop computer.
  • Stable high-speed internet connection of at least 25 Mbps.
