Administrative Assistant – U.S. Bank (Hybrid, Minneapolis)

Provide executive administrative support at U.S. Bank in a hybrid Minneapolis role, managing calendars, travel, meetings, events, and confidential operations. Coordinate leadership priorities and business activities while improving administrative efficiency.

Description

  • Support senior leaders and their leadership team within the Enterprise organization.
  • Handle confidential information, complex calendars, scheduling priorities, and meetings across stakeholders and time zones.
  • Coordinate invitations, agendas, presentations, materials, rooms, catering, and technology for meetings.
  • Arrange domestic and international travel, including detailed itineraries.
  • Prepare and submit expense reports.
  • Act as a primary contact for internal and external stakeholders.
  • Support leadership meetings, business reviews, operating routines, and planning activities.
  • Coordinate leadership communications, action tracking, and follow-up.
  • Prepare and distribute presentations, reports, organizational materials, and executive communications.
  • Assist with onboarding, employee engagement, and organizational initiatives.
  • Plan and coordinate leadership meetings, offsites, workshops, town halls, and employee engagement events.
  • Oversee event logistics, timelines, facilities, catering, communications, technology support, and materials from start to finish.
  • Provide on-site or virtual support before, during, and after meetings and events.
  • Coordinate administrative and operational work for business initiatives and special projects.
  • Monitor project timelines, deliverables, and action items.
  • Maintain orderly records, files, and documentation.
  • Find ways to strengthen administrative processes and operational effectiveness.
  • Use Microsoft 365, AI-enabled tools, collaboration platforms, and emerging technologies to increase productivity.

Requirements

  • High school diploma or equivalent is required.
  • Professional experience in administrative support, executive assistance, or a related field.
  • Experience supporting senior leaders in a complex corporate environment.
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and other productivity tools.
  • Exceptional organizational, planning, and time-management abilities.
  • Strong written and verbal communication skills.
  • Ability to manage competing responsibilities accurately and professionally.
  • Consistent attention to detail and commitment to high-quality work.
  • Sound judgment, discretion with confidential information, and the ability to work independently.
  • Experience arranging executive travel, managing calendars, planning meetings, and processing expenses.
  • Associate's or bachelor's degree preferred.
  • Experience supporting executive leaders and leadership teams.
  • Experience coordinating strategic initiatives, business reviews, leadership meetings, and offsite events.
  • Experience developing executive presentations, communications, and business materials.
  • Project coordination and process improvement experience.
  • Experience supporting leaders in a large corporate or financial services organization.
  • Familiarity with AI-enabled productivity and collaboration tools.
