Senior Manager, Administration - ASPCA (Remote)
Support two ASPCA senior vice presidents with executive administration, scheduling, travel, budgets, meetings, and project coordination. Help strengthen administrative operations across the organization’s national animal welfare programs.

- Support two Senior Vice Presidents in the ASPCA Program division with executive administration
- Manage complex calendars, scheduling conflicts, meetings, and leadership communications
- Arrange travel logistics, itineraries, expense reporting, and travel preparation
- Record meeting notes, track decisions, document action items, and coordinate follow-up
- Monitor organizational calendars and prepare senior leaders and teams for planning, reviews, compliance training, and budget preparation
- Work with the Director and administrative team to improve Program operations and provide backup coverage
- Partner with IT to support the adoption and effective use of new technologies
- Plan and coordinate internal and external meetings and events, including travel, supplies, room setup, audiovisual needs, and catering
- Collect feedback and improve meeting, communication, and team processes
- Support budget data collection, review, preliminary analysis, reporting, and maintenance
- Coordinate projects by monitoring timelines, deliverables, documentation, communications, and issues
- Develop presentation decks and visual summaries of information
आवश्यकताएँ
- High school diploma, GED, or equivalent work experience
- At least four years of administrative support experience, including one year supporting executives
- Experience managing calendars and providing logistical support for ongoing priorities
- At least one year of experience arranging travel for others
- At least one year of experience organizing virtual and on-site meetings for others
- At least two years of experience taking meeting notes, documenting next steps, and helping lead follow-up
- At least one year of experience supporting budget preparation and review
- At least one year of experience completing expense reports for others
- Strong organization skills with the ability to manage competing priorities and deadlines
- Sound judgment, diplomacy, discretion, and respect for confidentiality
- Ability to work independently in a remote environment
- Ability to plan, organize, and facilitate meetings
- Strong written and verbal communication skills, including grammar, editing, and proofreading
- Proficiency with Microsoft Office, including Outlook and Teams
- Ability to learn new software quickly
- Ability to demonstrate ASPCA core values and behavioral competencies
- Familiarity with Workday, Airtable, Box, and Canva preferred
- Event or conference planning experience preferred
- Experience collecting and managing data sets preferred
- Animal sheltering, veterinary medicine, or animal welfare experience is a plus
- English proficiency required
