Remote Patient Coordinator and Medical Administrative Assistant
Provide remote patient coordination and medical administration for an Australian dental practice, handling enquiries, appointments, referrals, records, and follow-ups for patients and caregivers.

- Handle new-patient enquiries by phone and email, following established scripts.
- Manage appointments, confirmations, reminders, cancellations, rescheduling, and waitlists in Halaxy.
- Communicate with patients, caregivers, authorized contacts, support workers, and referring organizations.
- Explain routine practice and appointment information.
- Refer clinical or complex questions to the appropriate practice team member.
- Record referrals and follow up on medical histories, consent forms, referral letters, and correspondence.
- Coordinate day-surgery bookings involving general anesthesia.
- Monitor outstanding laboratory work and arrange required follow-ups.
- Follow up on outstanding patient accounts as directed.
- Keep patient and administrative records accurate.
- Track missing information and outstanding tasks through to completion.
- Notify the practice about unresolved or urgent matters.
- Provide a brief end-of-day handover covering completed and outstanding work.
- Protect confidentiality and follow the practice’s privacy and security procedures.
- Provide task-specific remote support to improve business efficiency, service delivery, and operations.
- Report to a point of contact yet to be determined.
आवश्यकताएँ
- Patient-facing experience in healthcare or medical services is strongly preferred.
- Experience in medical administration, healthcare virtual assistance, clinics, allied health, or dentistry is preferred.
- Dental experience is helpful but not required.
- Phone-based patient service experience is strongly preferred.
- Appointment and diary-management experience is required.
- Experience managing medical documents or referrals is preferred.
- Excellent spoken and written English is required.
- Ability to handle confidential health information is required.
- Warm, patient, and highly professional communication style.
- Comfort communicating with patients and healthcare stakeholders.
- Calm and empathetic approach in sensitive situations.
- Strong organization and attention to detail.
- Able to follow scripts while communicating naturally.
- Reliable documentation and follow-up skills.
- Comfortable learning specialized healthcare workflows.
- Strong prioritization and time-management skills.
- Proficiency with Halaxy, 3CX, email and calendar platforms, Microsoft Office, Google Workspace, and patient or practice management systems.
- Available for 15–20 contracted hours per week, Monday through Thursday, between 10 a.m. and 4 p.m. Adelaide time.
- Excellent written and spoken English; an A–B accent level is preferred.
- Asia-Pacific time-zone alignment is preferred.
- Must work as an independent contractor under a Master Services Agreement and Statement of Work.
