Descriere

  • Oversee vendor registrations, including forms, W-9s, and supporting documentation
  • Manage customer procurement-platform registrations and upload quotes, invoices, and related documents
  • Forward customer amendments and redlines to Legal and monitor them through completion
  • Complete issued standard forms and registrations without evaluating term acceptability
  • Create manual invoices and manage non-standard billing requests
  • Prepare renewal quotes and process designated customer orders at agreed prices
  • Partner with Customer Success and Finance to resolve billing and order issues
  • Refer discounts, credit notes, pricing exceptions, and contractual changes for escalation
  • Monitor overdue invoices and contact customers according to approved templates and schedules
  • Maintain clear visibility into ageing debt and continue required follow-up
  • Manage routine invoice reminders and collections activity within approved limits
  • Escalate older or higher-value debts, disputes, and promises to pay to Finance
  • Coordinate with suppliers and monitor customer hardware deliveries
  • Prepare customs documents using the approved checklist
  • Escalate unlisted declarations, valuations, or classifications for approval
  • Pursue shipment delays, inaccurate tracking, and delivery issues until resolved
  • Create practical procedures for vendor, billing, collections, and shipment workflows
  • Monitor workload measures covering registrations, invoices, overdue debt, and shipments
  • Identify opportunities to automate or eliminate repetitive tasks
  • Recommend a permanent owner for each operational workflow
  • Keep one central tracker of outstanding items through the contract handover

Cerințe

  • Recent Business or related-field graduate
  • Between 0 and 2 years of experience
  • Strong, professional written English
  • Consistent drive to complete tasks
  • Careful attention to detail
  • Strong follow-through and the ability to close loops independently
  • Comfort with recurring administrative tasks
  • Working knowledge of spreadsheets
  • Familiarity with a CRM or billing platform is helpful but not required
